  Job Description Summary

  Job Overview:

  We are actively seeking a detail-oriented and proactive Administrative Coordinator to join our dynamic engineering team. The successful candidate will play a vital role in managing subcontractor documentation, ensuring compliance with employee documentation requirements, overseeing equipment calibration, and handling various administrative tasks critical to the smooth operation of our engineering projects.

  Job Description

  Responsibilities:

  Subcontractor and Internal Staff Documentation:

  Manage and organize agreements, certifications, and related documentation.

  Ensure compliance with all contractual requirements and maintain up-to-date documentation.

  Employee Documentation:

  Monitor and verify that all employees have valid and current documentation, certifications, and licenses as required.

  Collaborate with HR to ensure compliance with company policies and industry regulations.

  Equipment Calibration:

  Oversee the calibration schedule for engineering equipment and tools.

  Coordinate with vendors to ensure timely calibration services and maintain accurate calibration records.

  Administrative Support:

  Provide general administrative support to the engineering team.

  Organizing trainings, preparing documentation, and maintaining accurate records.

  Vendor Management:

  Work closely with vendors to procure necessary equipment and services.

  Manage vendor contracts and ensure compliance with contractual agreements.

  Health and Safety Compliance:

  Collaborate with the Health and Safety team to ensure compliance with safety regulations.

  Maintain records related to safety training and certifications.

  Qualifications:

  Proven experience in administrative roles, particularly in managing documentation and subcontractors.

  Strong organizational and time-management skills.

  Excellent communication skills and attention to detail.

  Ability to multitask and prioritize in a fast-paced environment.

  Experience of at least 4 years on documentation and subcontractor management

  Proven knowledge on Smartsheet tool.

  Proven knowledge on TESSEG tool.

  Proven knowledge on SAP ERP tool.

  Education and Experience:

  High school diploma or equivalent; additional administrative certifications are a plus.

  Previous experience in supporting engineering or project teams is highly desirable.

  Languages

  Fluent English

  Intermediary Spanish

  Fluent Portuguese
