The candidate should also have experience working in an office environment, performing administrative tasks, and providing support to a variety of projects. An ability to multitask, manage complex schedules, and meet changing deadlines is essential to the position.
The Admin Assistant will support office operations, maximize office productivity, implement timely and efficient workflows, and provide administrative and continuous improvement support to the organization. Makes recommendations for solutions. Works autonomously on assignments requiring judgment and initiative.
Essential Functions:
Performs general administrative support tasks including scheduling and coordinating meetings, booking conference rooms, arranging catering, managing outlook calendars
Prepares documents, spreadsheets, reports and presentations.
Prepares meeting artifacts for internal and external meetings
Prepares expense reports in Concur
Complete intake work for L3Harris and Subcontractor new hires
Timekeeping responsibilities
Creates and/or maintains appropriate logs, databases, inventories, filing (hard or soft copy), status reports/tracking.
Takes and delivers messages, provide information to callers, distribute and route mail, packages and paperwork.
Schedules employee engagement events and actives.
Maximizes office productivity through proficient use of appropriate software applications.
Maintains general office supplies for two locations
Provides back up support to facilities.
Coordinates visitor and offsite activities, to include customer meetings.
Work cohesively other Administrative Assistance within L3Harris
Arrange for domestic and international travel
Other duties as assigned.
Supports event planning and execution.
Supports on-boarding of new program personnel.
Coordinates with the L3Harris security office and other stakeholders on security and access issues supporting the program (e.g. clearance documentation, access to classified spaces, etc.)
Manages process for Program Team accounts (e.g. SIPR accounts, AFNet-S accounts, etc.) to include the processing of documentation and the provision of that documentation to approval authorities
Manages process for Program Team Common Access Cards (CAC), SIPR Tokens, and required badges to include the processing of documentation and the provision of that documentation to approval authorities
Calendar management and scheduling for meetings including All Hands and 1:1’s
Assisting with interview coordination for subcontractors, new hire onboarding, and offboarding for program departures
Maintain StaffIt
OT Authorizations
Assist with slide preperation for both internal meetings and customer deliverables
Assist CDRL manager with CRM transcribing
Coordinate quarterly All Hands meetings
Send out program communcations as needed
Order periodic catering when requested
Plan and facilitate morale events
Maintain office floorplans and assign seating to new hires
Assist visiting programs holding trainings or demos
Order office and breakroom supplies
Qualifications:
Requires fully proficient job knowledge/skills. Requires a High School Diploma or equivalent and a minimum of 6 years of prior relevant experience or 2 years post-Secondary/Associates Degree with a minimum of 2 years of prior related experience.
Proven administrative experience
Proficiency in Outlook, PowerPoint, Excel
Experience with Microsoft Teams
TS/SCI with ploy.
