POSITION SPECIFIC SUMMARY :
The Accounting Support Senior Specialist is part of the College of Health Sciences & Professions ( CHSP ) dean’s office budget team. The position provides support to the planning unit budget process, budget tracking, and all day-to-day college-level financial processes. The position includes a shared services component within CHSP to provide training and support across the college to staff and faculty to help cover staffing level changes and special projects.
POSITION SPECIFIC PRIMARY RESPONSIBILITIES :
Assist with the annual college budget process from inception through providing completed budget materials to all CHSP units.
Take a lead role in training and on-boarding school/department support staff on college and university financial processes and systems.
Serve in a shared services capacity within CHSP to cover departmental finance needs in response to changing staffing levels and/or special projects.
Process non-purchasing related transactions including billing authorizations, journal entries and corrections, graduate appointments and contracts via ICD . Perform beginning-to-end purchasing process, as needed. Track commitments and obligations. Monitor and reconcile accounts. Complete payroll audits. Complete various statistical reports utilizing university data bases and systems.
Reconcile expenses according to prescribed standards and practices. Provide budget reports and/or summaries to dean’s office budget team, faculty and staff according to agreed upon standards and as requested by supervisor.
Provide financial oversight to accounts including operating, restricted and foundation. Coordinate time and attendance reporting on grants.
Provide support to departments for overloads, part time instructional appointments, summer instruction, summer research and other contracts and initiate contracts. Assist with the raise and re-appointment processes for faculty and staff.
Perform other duties as assigned.
GENERAL SUMMARY :
Supports the organization’s accounting functions. Maintains up-to-date and accurate records of daily transactions, accounts receivable, accounts payable, inventories, payroll, and various other records.
GENERAL RESPONSIBILITIES :
•Serves as the initial contact for customers. Mentors, coaches, and trains lower level employees on customer service and department policies.
•Often directs work, trains, and/or supervises other staff or student employees.
•Performs financial analyses and makes recommendations based on data.
•Reviews the work of other employees for accuracy and compliance with accepted standards and University policies.
•Completes and submits institutional surveys for publishers and agencies.
•Issues purchase orders in accordance with functional policy. Communicates with internal and external customers to manage purchasing.
•Analyzes and monitors department and program budgets. Approves and tracks expenditures.
Minimum Qualifications:
Knowledge of finance and business technical and practical concepts, processes, and methods typically obtained by a high school degree or GED or equivalent and a minimum of 5 years of related experience.
Proficient in spreadsheet software such as Microsoft Excel.
An equivalent combination of education, training, and experience is acceptable.Specific knowledge, certifications, and licensure will apply at the position level.
Preferred Qualifications:
Bachelor degree in Accounting, Business or a related field
Experience working in one or more of the following: Oracle, Concur, BobcatBuy, PeopleSoft, PeopleAdmin
Knowledge of grants
Knowledge of statistical and financial analysis
