NY1484436 Accounting Associate needed for YWCA of the Mohawk Valley in Utica.
Job Summary:The Accounting Associate plays a critical role in the Finance department by processing vendor and grant account payables. Maintains accurate finance records, assigns payables to appropriate grant funding source. Works closely with senior management and other staff to support financial needs.
Essential Duties and Responsibilities:Review all invoices for appropriate documentation for proper General Ledger entries regarding; approval level, grant coding, program, and location (MasterCard, Lowes, and Price Chopper),Process all invoices into the computer system,Open, stamp and distribute mail to relevant staff,Monitor the Company phone line and distribute any messages to the appropriate staff,Answer the main door when the doorbell rings and either usher the visitor to the staff they are here to see or alert the staff member of someone at the door to see them,Record, stamp, and deposit incoming checks,Coordinate with housing case managers to ensure the accurate payment of monthly rents and maintain a spreadsheet reconciling the payments, Review general ledger accounts for inconsistencies and prepare correcting journal entries,Prepare monthly general ledger account reconciliations,Process biweekly payroll includes ensuring all hours are input for all employees and checking the on-call and extra payroll items are in the system correctly, Maintain and update all accounts payable and grant reports, spreadsheets, and files,Assist in grant vouchering from coded invoices,Backup for the Grants Manager duties,Assist in monthly closings and reports,Function as liaison between finance and staff related to account payables including running reports to answer inquiries,Function as liaison between finance and Development staff related to account coding and reconciliation,Function as liaison between finance and Crossroads staff related to account coding and reconciliation along with processing vouchers received from the County for attendee reimbursement and producing a report for the Crossroads instructor,Inventory, order, pick up (when applicable) and file all office and kitchen supplies,Prepares analysis of accounts as requested,Performs administrative tasks such as filing and copying,Other administrative duties as assigned.
Education:Associates Degree in Accounting required with two plus years of related experience or a Bachelors Degree in Accounting.
Required, Specialized, or Technical Knowledge:Professional manner and appearance.Must possess maturity and sensitivity to confidential information.Able to work with minimal direction and supervision, with ability to organize time and duties, follow through with assignments and meet deadlines. Ability to coordinate and manage numerous ongoing activities.Demonstrated ability to collaborate with executives and in a team atmosphere.Flexibility in work assignments and interest in assuming new responsibilities in an evolving work situation are essential.Excellent verbal and written communication skills to establish clear expectations in a fast-paced setting.Working knowledge of Microsoft computer software required.Ability to employ strict discretion in sensitive situations.Comfort with uncertainty and ambiguity while being proactive in anticipating and preempting problems.Represent the agency as needed to both internal and external audiences.
