Job Concepts
The Office of Student Life Office Manager is responsible for overseeing the administrative functions of the student life office while also managing the operations of the on-campus food pantry and clothes closet. This multifaceted role requires a dynamic individual with strong organizational, interpersonal, and leadership skills. The incumbent will play a crucial role in supporting student well-being through the coordination of campus resources, student engagement initiatives, and the provision of essential services like food and clothing assistance.
40% Administration
SGA/OSL Office
Monitors and maintains day-to-day operations of the Office of Student Life including responding to general inquires, greeting visitors, scheduling student workers/interns, implementing office workflow procedures, and other general office operations.
Screens and redirects, where appropriate inquiries to the Director of Student Life and Assistant Director for meetings or assistance. Works closely with administrative staff from the Division of Student Development and other college areas.
Coordinates routine college matters with departmental representatives. Responds directly to requests for information received from both internal and external sources.
The Store
Develop and implement policies and procedures for the food pantry's daily operations.
Ensure that the pantry operates efficiently and effectively to meet the needs of clients.
Oversee the acquisition, storage, and distribution of food donations.
Monitor inventory levels, track expiration dates, and manage rotation of stock.
Recruit, train, and supervise volunteers to assist in sorting, packing, and distributing food.
Schedule volunteer shifts to ensure adequate coverage during operating hours.
The Closet
Develop and implement policies and procedures for the clothes closet's daily operations.
Ensure the efficient and organized functioning of the clothing assistance program.
Oversee the acquisition, sorting, and distribution of clothing donations.
Maintain an organized inventory system and track the types and sizes of available clothing.
Recruit, train, and supervise volunteers to assist in sorting, organizing, and distributing clothing.
Schedule volunteer shifts to ensure adequate coverage during operating hours.
30% Fiscal Process Management
Manage office accounting operations, ensure college policies, business processes, administration, and financial management are followed.
Review and maintain all financial office accounts.
Assists the director and other staff members with best practices when making financial decisions, reviews and processes payments, maintains an accurate filing and record keeping system for all financial statements, transactions and documents.
25% SGA Event Coordination
Duties and responsibilities centers on planning and/or assisting with managing events of varying sizes and purposes for the campus community and stakeholders.
Assists with logistics and keeps expenditures within the allocated budget and ensures that the event itself is carried out smoothly.
Essential duties and responsibilities include but not limited to prepare and maintain a variety of requests, forms, and reports.
Maintains and enforces facility rules and regulations; reviews and prepares purchase requisitions and budgetary documents for the SGA events and programs, in both print and electronic forms.
Coordinates with all other administrative offices for the budgetary process.
Facilitates contract process for SGA events and programs; ensures delivery of goods and services with overall inventory maintenance (storage room upkeep).
