Kelly Services is currently recruiting for the role of Office Administrator in Brampton, Ontario.
Location: Onsite 73 Hale Rd, Brampton, ON L6W 3J9
Timing: 8am- 5pm
Contract for 6 months with possibility for extension or conversion
Pay rate: $24
Job Description:
60-70% Billing & Work Orders
15% communication between trades/technicians, customers, service supervisors/management
Remainder will be the general office administrator tasks.
Responsibilities may include but are not limited to:
Manage and coordinate general office activities.
Support and assist field technicians and sales team as required.
Oversee and coordinate maintenance and service work schedules to ensure work orders and preventative maintenance work are completed in a timely manner.
Dispatch customer emergency calls effectively to field technicians in timely manner.
Process data entry into Jonas System and ensure customer information and accounts receivable information are accurate and updated.
Prepare and generate customer invoices to ensure payments are received in timely manner.
Answer customers’ inquiries via email or phone in a timely manner.
Coordinate and collaborate with the administration and accounting team, in the Atlantic Canada Region, as required.
Qualifications:
Successful completion of post-secondary education coupled with 3-5 years’ of general office administration and or billings experience within the construction or trades industry.
Advanced knowledge of MS Office Suite with demonstrated knowledge of Excel, Outlook, MS Teams, and SharePoint.
Strong organizational skills with the ability to prioritize and quickly shift between tasks.
Proven ability to coordinate and dispatch service and maintenance work efficiently and effectively.
Experience with Jonas System is considered an asset.
Excellent customer service skills with the ability to communicate important information effectively to field technicians, sales, management, and customers.
Strong attention to detail with the ability to identify inaccuracies and issues with customer billings.
