Position Summary:
Reporting to the Manager, Industry Liaison Office (ILO), the incumbent coordinates and manages key annual and recurring events in the Centre for Construction & Engineering Technologies (CCET) including three New Student Orientations in Fall, Winter & Spring, Associations Fair with Industry Networking Luncheon, two Career Fairs with Industry Networking Luncheons, Engineering Technologies Final Project Showcase, OACETT National Engineering Month Robotics competition, ILO Open House in Fall & Winter, Exploring Tech in the City, B.O.L.T. Days of Discovery, Promoting Skilled Trades and Technology (PSTT), Divisional Info Sessions for Prospective Students, Skills Ontario Summer Camp, and more. In consultation with the manager, the incumbent may also coordinate the planning and execution of occasional one-time special events.
Key Responsibilities:
Coordinates all catering and submits all invoices for departmental payment.
Schedules event dates and determines event needs with facilities or other on-campus spaces.
Assesses individual event supplies and place orders with external vendors.
Schedules all planning meetings, debriefing and student volunteer meetings with event participants and stakeholders, including scheduling industry partners.
Makes cold calls and soliciting potential organizations, to generate interest and encourage engagement in CCET events.
Assesses all event probability through digital platforms.
Researches all potential online venues and sources; prepares event proposal to ILO Manager for approval.
Coordinates Dean's Ambassadors Program to meet student development theory and industry recruitment needs.
Provides administrative support to the Industry Liaison Manager and the Industry Liaison Office.
Other duties as assigned.
Educational and Experience Requirements:
Three-year diploma, degree or equivalent in Marketing, Business Administration, or Event Management.
Training in marketing and communications is an asset.
Minimum five (5) years' direct experience in event planning, managing, and executing events involving outside stakeholder groups ranging in size from 1 to 2,000 participants.
Must have demonstrated ability and proven success within the field of student success at a post-secondary institution for a minimum of three years.
Experience working in an office administrative role in strong customer service role.
Experience in developing, implementing, and evaluating student programs and training modules is an asset.
Experience developing marketing communications that involve the use of new media is critical.
Experience in establishing strong and collaborative partnerships and working with students and student groups from diverse backgrounds.
Experience coordinating and directly supervising student staff, volunteers, industry partners and other partners.
Research and evaluation experience as well as experience in creating new event methods and ideas.
Experience in Universal Design for Learning (UDL).
Skills and Attributes:
Demonstrated effectiveness in event planning and achieving event objectives.
Solid public speaking and presentation skills are required.
Must demonstrate excellent problem-solving, conflict resolution, and team-building skills.
Ability to lift between 20 kg or 44 lbs (i.e., boxes, supply cart, banner, and table set-up, etc.).
Able to travel to offsite events on a monthly basis.
Demonstrated communication, collaboration, teamwork, and interpersonal skills at a professional level.
Demonstrated commitment to uphold the College's priorities on diversity and equity.
