The Human Capital Management (HCM) Consultant serves as a trusted primary content matter expert and consultant to campus departments as they utilize Vanderbilt University’s enterprise human capital management (HR) system. The HCM Consultant is part of the central HR division and works directly with offices all across campus to ensure that HR actions such as faculty, staff, and student hires, transfers, job changes, leaves, etc., are transacted and managed appropriately by the units in the enterprise system (Oracle Cloud).
As a professional member of the Human Resource Information Systems (HRIS) team at Vanderbilt University, the role serves as a key individual contributor responsible for working with campus unit-based HCM Specialists, unit leaders, and campus employees to understand, maintain, and update core HR transactions in the Oracle HCM System. This position requires a comprehensive understanding of the Oracle HCM module, as well as underlying HR and financial policies and procedures. The role is expected to effectively communicate system requirements, identify potential solutions, communicate information about causal connections, and anticipate and resolve resulting impacts.
This position is 100% remote work.
Duties and Responsibilities
Primary Area Resource for HR functions in Oracle HCM System
Provides oversight, consulting and ongoing training of new and experienced campus unit-based HCM Specialists and assists employees with self-service transactions (including time cards) as needed
Demonstrates expertise in faculty, staff and student employment life cycles, from position creation to separation from employment
Advises campus unit-based HCM Specialists on routine and non-routine HR system processes and data requirements, and identifies especially complex situations that require the involvement of the Lead HCM Consultant or management
Identifies and understands the connections between policies and procedures and the resulting impact on employees, and anticipates and communicates in advance to avoid errors or intended consequences
Maintains an extensive understanding of Oracle HR functions and related connections with Oracle financial functions
Analyzes and processes complex transactions with forethought as to implications and required communications
Has access to, and accountability for, extremely sensitive/confidential information about employees; treats the information with unquestioned confidence and discretion, and never inappropriately releases or shares such information.
Active participant in the testing of quarterly Oracle updates
Performs audits on Employee roster and other key employee data and corrects information as needed
Assists other areas as needed (update citizenship information for ITO, enter Direct Deposit for Payroll).
Monitors the transaction console tool for transaction status and follows up transactions that are unsuccessfully processed. Oversees the timely preparation and accurate production of all payrolls for the University, including monthly, biweekly, and weekly payrolls
Core HR Transactions
Reviews and corrects HCM information (or returns transactions to the relevant unit for correction) as necessary for faculty, staff, student workers and other positions
Receives, reviews, and approves HCM system actions such as hires, transfers, promotions, and end of employment actions before the action becomes effective in the HCM system
Coordinates with Onboarding to ensure that I-9 and Background clearance has occurred for hires and rehires
Engages with unit-based HCM Specialists, business officers, and business/entity approvers across campus to ensure that transactions processed in the HCM System are complete, correct, and categorized appropriately to ensure the ability to produce accurate data feeds and reports.
Submits New Hire Report every week to the State of Tennessee for the New Hire Reporting Program.

Builds and maintains strong working relationships with campus HCM Specialists and with centralized HR team members
Leads and participates in recurring meetings, training, and round table discussions to allow opportunities for HCM Specialists across campus to learn from each other
Ensures that employee inquiries and concerns are handled quickly, equitably, with a courteous resolution
Adapts easily to changes in technology and process
Displays an awareness of and urgency around meeting deadlines and related employee impact

Qualifications
Strong working knowledge of enterprise HR systems is required.
Personal and professional integrity, as well as confidence and credibility, is required.
Ability to be service-oriented and customer-focused is required.
Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community is required.
Ability to provide technical advice and information to campus unit-based HCM Specialist is required.
Ability to analyze and offer solutions to complex problems is required.
A bachelor’s degree in a relevant field (e.g., business, HR management, etc.) is preferred.
3-5 years of human resources experience is preferred.
Oracle Cloud HCM knowledge is preferred.
Ability to perform a complex task and to prioritize multiple assignments is preferred.
