SUMMARY:
The Document Management Specialist provides support to Project Management teams in the Pre-Construction department.
This position is responsible for handling, processing, submitting, and keeping track of all supporting documentation involved in the design and permitting process as well as contacting vendors as needed in a fast-paced environment.
RESPONSIBILITIES:
Write/Dispatch/Edit Purchase Orders
Process Invoices
Setup New Vendors to be included in PeopleSoft
Contact Vendors as needed
Create/Edit/Combine documents in PDF format
Use online systems to create/manage/verify permitting accounts
Fill in online forms for municipalities and vendors
Write and distribute email correspondence to municipalities and vendors
Other duties as assigned, and as role and responsibilities evolve and change due to business, contracts, and regulatory needs
REQUIREMENTS:
Bachelor’s degree or GED. In administrative field
3 years of experience in administrative field
Proficient in MS Office applications: Excel macros and VBA. Word advanced document processing and PDFs manipulation.
Proven experience with data entry and attention to detail.
Effective verbal, written and interpersonal communication skills.
Bilingual English/Spanish
Basic PeopleSoft experience.
Basic experience in supporting Pre-construction projects.
