Reference #: 4353129THE POSITIONThe Governor's Office of Administrative Services is looking for a motivated, well-organized, detail-oriented, collaborative administrative professional to support the Shapiro Administration! The primary purpose of this position is to independently manage the daily administrative operations of the Governor's Philadelphia Regional Office and serve as an administrative liaison between the Philadelphia Office and Main Capitol Building headquarters. DESCRIPTION OF WORKEveryday is different in the Office of Administrative Services! Some of the duties will include:
Oversee guest experience by greeting visitors and providing general support to onsite Governor's Office and Office of General Counsel (OGC) staff.
Utilize a reservation system to manage hoteling desks, hoteling offices, and conference rooms.
Answer telephone calls and emails from Governor's Office and OGC staff related to office use and availability.
Develop and maintain office operations policies and procedures.
Monitor office supplies, furniture, appliances, and Information Technology equipment as required. Notify the Governor's Office Information Technology or Administrative Services team of all office needs via an established ticketing system.
Troubleshoot basic Information Technology issues (i.e., conference audio and TEAMs connectivity) and coordinate with Information Technology, where appropriate.
Serve as the main point of contact for facility maintenance, mailing, shipping, supplies, equipment, and office errands.
Responsible for promoting office standards and activities that enhance operational procedures.
Other related duties as assigned.
Work Schedule and Additional Information:Full-time employmentWork hours are 8:30 AM to 5:00 PM, onsite Monday - Friday, with 60-minute lunch.Given the always-on nature of the Governor's Office, work outside 9-5 is expected as needed.Salary:In some cases, the starting salary may be non-negotiable.You will receive further communication regarding this position via email. QUALIFICATIONSMinimum Experience and Training Requirements:One year as an Administrative Officer 1; or
Three years of experience in progressively responsible and varied office management or staff work, including experience in personnel management, budgeting, or procurement; and a bachelor's degree; or
Any equivalent combination of experience and training.
