  Total Rewards Program Coordinator

  Purpose of Job

  The Total Rewards Program Coordinator is a member of the Total Rewards Team, responsible for supporting the day-to-day operations of the divisions, programs, and projects. The position will help in planning and organizing programs and activities as well as carrying out important operational and administrative duties. The Program Coordinator will manage and execute SPR submissions, privacy and infosec reviews, expense reports, and manage calendars for the Divisional Leadership team. As the Program Coordinator, the position will have a keen understanding of the organization and contribute to the organization’s overall success. The Program Coordinator will report to the Director of Total Rewards, HR Technology and Employee Services and collaborate cross functionally to achieve the division goals and objectives in support of the MITRE mission.

  Essential Job Functions

  The primary responsibilities of the TR Program Coordinator include but not limited to:

  Assist in planning and organizing programs and activities as well as carrying out a variety of administrative and program management tasks as they relate to the division.

  Assist in coordinating organization’s communication in partnership with other team members.

  Working closely with the PMO assigned Project Manager resource divisional leaders to deconflict competing schedule priorities to help ensure likely success of project initiatives.

  Managing and tracking expense reports and SPR submissions ensuring accuracy and compliance

  Validating purchasing-card expenses with divisional leadership on behalf of Director

  Submit and coordinate Privacy and Infosec reviews of new and existing solutions and services as needed.

  Coordinating project milestones, constraints, solutions, status of active and future high-visibility projects in partnership with leadership team

  Managing the daily schedule of the Director, often serving as a “gatekeeper” to manage priorities by maintaining their calendar and deconflicting competing requests which requires the ability to shift gears, refocus and reprioritize requirements and demands while effectively helping to communicate key information.

  Coordinate and prepare material for Town Hall, Offsites and/or Monthly meetings.

  Providing essential administrative support to the divisional team, including maintaining records, scheduling meetings, handling documentation, and managing calendaring for initiatives

  Assisting PMO and divisional Leadership to help maintain project documentation, ensuring that all project materials are organized and accessible.

  Acting as the central point of contact for divisional team to disseminate information, requests, and communication to the appropriate team members.

  Required Education, Experience, Knowledge and Skills

  Requires a minimum of 2 years of related experience with a bachelor’s degree; or equivalent combination of related education and work experience.

  Prior experience working in Human Resources a plus.

  Solid organizational skills

  Ability to make sound decisions and judgments.

  Detail-oriented with the ability to work collaboratively.

  Requires high level of poise, initiative, tact, professionalism, and diplomacy in working closely, often under time constraints, with highly confidential information, with a diverse group of managers and employees.

  Self-starter who can work autonomously and can anticipate needs or challenges in advance and escalate when appropriate.

  Ability to effectively manage several deliverables simultaneously while prioritizing objectives.

  Proven experience in project coordination, calendaring, creating presentations while fostering critical thinking and agility.

  Proficient Microsoft Office Suite skills including Outlook, Word, PowerPoint, and Excel
