Position Summary
The Supervisor, Contract Administration is a member of the Finance and Operations Team. The position has the business goal of providing support and high-quality service to the Thermo Fisher Scientific Immunodiagnostics Division Management Team, the Sales teams and to customers as well as meeting individual and department goals and objectives. The Supervisor, Contract Administration will lead a team of 2-3 contract specialists and supports all departments within the Immunodiagnostics Division through on-going communications on pricing, approvals, requirements, contracts, compliance, customer relations and corporate initiatives while providing indirect support to other Thermo Fisher Scientific divisions.
The Finance and Operations Department is a fast-paced environment which supports Finance and Operations Management and a nationally dispersed Sales Team. The selected individual will be expected to interact closely with other departments, the Sales team and, upon request and under the direction of the Sr. Director, Finance and Operations, with customers ranging from large hospital systems to national laboratory customers. The position includes attendance at semi-annual sales meetings held in various locations across the country.
Job Functions and Accountabilities
As a member of the Finance and Operations Department, the Supervisor, Contract Administration is expected to understand and provide support with respect to some or all of the following job functions and accountabilities as directed or modified from time to time:
Supervise Contracting Department by providing day to day supervision of a team of contract analyst as well as facilitate long-term, strategic planning for the Contracting Department in alignment with the broader Finance and Operations departmental goals.
Understand and be able to provide support and information with respect to all capital equipment and consumable diagnostic products and pricing. Provide robust and accurate pricing analysis while providing data and support to the Sales team.
Provide positive, competent, and timely assistance to all internal and external customers while managing individual transactions through complex internal and external processes while communicating status and providing guidance to all involved individuals and teams.
Serve as an independent analyst of product and pricing requests while understanding price/volume relationships, business goals, sales goals, and normal industry procedures for commercial testing for allergy or autoimmune disorders in a laboratory setting.
Draft enforceable contracts utilizing established contract templates including reagent agreements, instrument contracts, renewal and amendment agreements and pricing quotes along with other unique agreements while developing accurate pricing schedules and addendums. Review and identify legal, financial, regulatory, and business risk in negotiated contract terms and conditions. Summarize and escalate legal and business issues to the Sr. Director, Finance and Operations or Corporate Legal as appropriate and necessary.
Facilitate the ImmunoDiagnostics Division’s contractual obligations by working with both internal and external customers including coordinating with Sales, customers, and other departments with respect to the scheduling of shipping, installation or training and verification requirements.
Provide support to Sales Team New Hire onboarding by preparing and delivering training materials relevant to the pricing, compliance, and contracting processes.
Provide assistance with respect to instrument information technology matters, HIPAA and business associate agreements, work with instrument interface vendors on billing matters and interface allowances, handle research study agreements, custom allergen quotes, release of special-labeled products, CLIA licensing matters and Government Contracting transactions including Department of Defense contracts and agreements.
Enforce contract compliance within guidelines and processes. Audit existing contracts and customer purchasing history for compliance with customer obligations and enforcement of business unit legal rights.
Keep abreast of legal compliance matters in the healthcare industry.
Drive continuous improvement and standardization of reporting.
Support Operations initiatives and communications, quality management initiatives, and standard operating procedures (SOPs).

Demonstrate strong leadership of the department performing as a key team member of the Finance and Operations Leadership Team. The person should have excellent interpersonal and highly effective verbal and written communication skills with the overarching goal of continuously assisting the forward movement of individual transactions and collaborative projects in a positive way; the ability to work well autonomously and in a team environment.
Able to interface effectively within all levels of the organization. A high level of judgment, tact, and diplomacy in dealing with internal and external customers on often difficult matters as well as the ability to handle confidential information appropriately.
Detail-oriented with strong analytical, critical thinking and organizational skills. Able to take ownership of matters and move them forward in a way which assists the Sales teams and supports the business unit even when sometimes not possessing all required information.
Excellent computer skills showing proficiency in Microsoft Outlook, Word, Excel, Adobe, and PowerPoint. Able to work with a large variety of systems and data sources to gather, assimilate and prepare required information, memos, and contracts.
A strong ability to multi-task and prioritize work and activities.
Must be able to provide sound judgment and while utilizing excellent decision-making skills in dealing with a variety of routine and non-routine issues. Able to investigate and resolve claims or complaints by collecting and analyzing information while quickly and effectively solving problems in an appropriate way.
Minimum Requirements
A Bachelor’s degree from an accredited plus eight years’ experience in contracting, pricing, and related fields.
High level of experience and skill with MS Office and BI tools (Excel, Access, PowerPoint, Power BI).
Demonstrate strong leadership, critical thinking and organizational skills, detail orientation and interpersonal skills.
