The Shop Dispatcher is responsible for coordinating and distributing all tasksrelated to vehicleservice in a Service center shop environment. That person is also in charge ofpreparing thework schedules and monitoring the work in progress in the shop.The ideal candidate will possess the technical acumen and the ability to workalongside the Service teams and manage all shop tasks and repairs. They wouldhave excellent interpersonal and communication skills and have a naturalability to bring people together. If you can think quickly on your feet andlove to solve operational problems, then we want you on the team. You willbe front and center working with our technical team every day to assist withservice needs and coordinate timely repairs. This role will require a dynamicand resourceful individual who will foster cross functional interaction andchampion a culture of continuous improvement to support Service teams andcustomers within a Service center.Responsibilities
Efficiently and promptly distribute work orders and/or job assignments fromcustomers to technicians, ensure the technicians are paired with work ordersthat match their skill levelMaintain constant communication with Managers, shop leads and serviceadvisors about the status of each vehicle in the shopTrack, and monitor productivity and efficiency in shop by ensuringtechnicians stay on pace for work distributed. Work with shop lead to ensurework orders are completed in a timely mannerPlan incoming appointments, manage accurately the workload based on plannedcapacityAssist with resolving any issues or challenges that arise during completion ofthe work, communicate effectively with the required parties to find solutionsBook the appropriate technicians for the hours worked on the operationsperformed. Be a liaison between the technician, service advisor, shoplead, and department managementInforming all stakeholders of schedule changes or necessary adjustments inrepair time of completion as they occurRelaying work orders, messages, and information to or from technicians,service advisors and other team members.Review parts availability, vehicle holds, and accuracy of technicians workorder notesSupport Manager with daily meetings to motivate the team and present them withthe various performance indicators' resultsEstablish the equipment maintenance scheduleKeep the workshop in order and distribute maintenance tasksPromote and ensure compliance of health and safety rules and procedures atworkQualifications
HS Diploma or GED preferredMinimum 5 years' experience in a dispatch role or similar in the Automotiveindustry (Automotive experience preferred but not required) or acombination of education and experience.Basic technical knowledge of automotive vehicles is a plusStrong understanding of written and spoken EnglishVery strong communication skills. Ability to clearly communicate withothers, to assimilate and understand information, in a manner consistentwith the essential job functionsRemains flexible and responsive to changing conditions.
