Robert half is seeking a highly organized and adaptable Senior Administrative Assistant. In this temp to hire role, you will play a pivotal part in ensuring the smooth operation of sales activities. Your responsibilities will encompass various aspects of meeting coordination, communication management, customer research, sales support, administrative tasks, and process improvement. This position is hybrid with 2-3 days in the Fort Worth office a week. Please note: this position it will require travel every 6 weeks for 1-3 days at a time.
Travel Coordination: Plan and organize travel arrangements for team members, including booking flights, accommodations, transportation, and any other necessary logistics.
Meeting Coordination: Efficiently schedule and manage sales meetings, ensuring all stakeholders are well-informed about schedules and agendas. Arrange logistics for meetings, whether virtual or physical, and add special touches to enhance the experience.
Communication Management: Serve as the initial point of contact for incoming sales emails, directing them to the appropriate team members and ensuring timely responses that reflect professionalism and positivity.
Customer Research: Conduct thorough research on potential sales customers to provide valuable insights for tailoring sales strategies.
Sales Support: Assist in the preparation of sales presentations, proposals, and reports, including proofreading. Maintain and update sales records and customer databases.
Administrative Tasks: Perform various administrative duties, including database and document management, calendar management, and handling sales-related inquiries.
Process Improvement: Identify areas for improvement in sales coordination processes and recommend enhancements.
Project Management: Develop and oversee a high-volume project roster, ensuring cross-functional initiatives are completed on time.
Meeting and Offsite Support: Provide hands-on support for meetings and offsites, including agenda preparation, content compilation, and documentation of key takeaways.
Special Projects: Undertake special projects as assigned by the VP.
Data Management: Populate and maintain data across internal platforms to ensure consistency and collaboration.
External Representation: In relevant external communications, represent the company, the team, and the VP professionally and effectively.
Requirements
Required Skills & Experience:
Bachelor’s degree in Business Administration, Marketing, or a related field.
Proven experience in sales support, coordination, or a similar administrative role in a dynamic, high-growth environment.
Strong project management skills, capable of managing multiple projects concurrently.
Adaptability to changing circumstances and the ability to pivot swiftly when necessary.
Excellent communication and interpersonal skills, with the ability to build relationships internally and externally.
Exceptional attention to detail, including spelling and grammar.
Proficiency in MS Office, Keynote, iCloud, and GSuite.
Strong organizational skills with a penchant for meeting self-imposed deadlines.
Familiarity with RFP processes and hotel sales coordination is a plus but not mandatory.
Ability to handle tasks related to hotel contracts, meeting contracts, and temporary team support.
Small team experience (4 members) with flexibility to take on strategic projects.
Additional responsibilities include data entry, weekly dashboard reporting, bios/research, meeting logistics, and team expenses management.
