Summary
The Individual Philanthropy Group (IPG) focuses on developing relationships with major donors and prospects ($10,000 and above). Our 2022-24 fundraising strategy sets the bar higher, with clear objectives for deepening engagement and growing support from high-net-worth individuals, including our Board of Trustees.
The Senior Administrator, Individual Philanthropy will play an important role in ensuring the smooth running of this fast-paced team. You will serve as the right hand of the Head, Individual Philanthropy helping to ensure execution of the team’s strategy and priorities. You will drive gains in productivity and impact, continuously improve day-to-day operations, and help drive critical projects to timely completion with a keen focus on information sharing/flow, and decision-making effectiveness. You’ll help to foster the relationships that are most important to the team’s priorities, anticipate potential roadblocks, and identify areas requiring the Head/team’s attention. You will provide all necessary (and sensitive) administrative support to the Head.
What You’ll Be Doing (Essential Duties)
Strategic Planning & Project Management (30%)
In close partnership with the Head, serve as Project Manager for strategic business initiatives from ideation to implementation, including coordinating with team members to make sure that all parties are on track with project requirements, deadlines, and schedules.
Working with leadership, key stakeholders and with an understanding of best practices, develop and implement strategies to streamline business processes, driving efficiency and optimizing operations for enhanced productivity.
Collaborate with IPG and Philanthropy and Partnerships support staff members to share topline information and develop efficiencies for full team/divisional success.
Support Head in managing professional/leadership development needs across the team to ensure strategic goals are met.
Facilitate cross-team partnerships; integrate and connect functions within and outside of the team to reduce siloing; provide team leaders with recommendations to improve teamwork.
Managing Head prioritization and delegation of operations and initiatives (30%)
Drive the prioritization and delegation of tasks, internal and external engagements and commitments as directed by the Head. Enable the Head to scale back time spent on detailed, day-to-day operational decisions and increase time spent on strategic planning, team development, and cross-division and external commitments.
Assist the Head with planning and prioritization of internal and external engagements, priorities, and commitments.
Assist the Head in timely matters, i.e., responding to communications, flagging upcoming deadlines, or highlighting staff requests needing prompt attention. Elevate issues when required and help remove roadblocks.
Internal Stakeholder Management and Communications (20%)
Partner with the Head to plan agendas, written updates, special materials, and relevant discussions for senior leadership and trustees as needed.
Draft communications on behalf of the Head for both internal and external audiences.
Prepare effective PowerPoints for leadership presentations as required by the Head.
Compile and edit regular team communications.
Manage team’s internal and external knowledge-management resources, IPG’s internal online Save Net page, and Ways of Giving donor web page.
Lead in agenda setting and content development (including securing presenters and facilitators as needed) for team-wide meetings, retreats, and more.
Provide high-level support to the Head, Individual Philanthropy in organizing and executing various administrative functions (20%)
Coordinate Head’s calendar in a dynamic and ever-changing environment; assist Head in preparing required materials in advance of meetings and serve as the Head’s delegate when needed.
Organize and coordinate staff functions and activities.
Handle travel and conference arrangements and expense reimbursements.
Exercise sound judgment in approving travel requests, invoices, and credit card reconciliation on behalf of Head; flag issues requiring additional attention.
Support the recruitment of interns and/or skilled volunteers and assist in the onboarding process of new hires.
Support the management of key vendor relationships, including consultants.
Required Qualifications
Minimum of a High School Diploma or equivalent, plus at least 2 years of relevant experience or education.
Experience with effective fundraising strategies involving one or more of the following donor groups: corporations, foundations, major donors, planned giving, and/or Board relations.
Proven success working with a senior leader, including strategic thinking, anticipating/averting, and analyzing/resolving problems.
Demonstrated successful project-management skills: including leading self and division with professional discipline, attention to detail, presentations to stakeholders (i.e., PowerPoint) and follow-through.
Professional proficiency in spoken and written English, with proven ability to refine senior leadership messaging to ensure that it is understood by the right audiences.
Professional proficiency in Microsoft Office suite, including Excel.
Demonstrated ability to anticipate and work through organizational change, both internal and external.
Proven ability to network and develop critical partnerships to strengthen and advance senior leadership agenda.
Proven ability to maintain confidentiality.
Demonstrated ability to communicate and collaborate effectively with individuals and teams at all levels, both internally and externally.
Demonstrated commitment to fostering and maintaining and environment of diversity, inclusion, and belonging.
Preferred Qualifications
Experience working in a large and complex non-profit environment.
Experience with donor databases.
Compensation
Save the Children is offering the following salary ranges for this position, dependent on candidate location:
Geo 1 - NY Metro, DC, and other locations with labor costs significantly above national average: Target Salary for this position is $55,250 – $61,750 base salary
Geo 2 - Locations around the US National Labor Cost Average: Target Salary for this position is $50,150 – $56,050 base salary
Geo 3 - Locations significantly below the US National Labor Cost Average: Target Salary for this position is $45,050 – $50,350 base salary
Actual base salary may vary based upon, but not limited to, relevant experience, base salary of internal peers, business sector, and geographic location (more information on job structure is available here). Employee may be eligible for an incentive program. Save the Children also offers paid vacation, accrued at least 12 days a year, depending on paygrade and length of service, paid safety and wellness leave of at least 1 day per month worked for a full time employee which is pro rata reduced for employees working less than a full time schedule, and at least 10 paid holidays a year. Employees may be eligible for additional bonus compensation.
