Summary This position is located in the Coast Guard's National Maritime Center (NMC). The NMC manages the Mariner Credentialing Program (MCP) and is responsible for developing and implementing policies related to one or more missions of the United States Coast Guard. The incumbent provides executive level administrative services for the Commanding Officer and Deputy Director of the National Maritime Center and general support to the NMC Command staff. Responsibilities This position is located in the Coast Guard's National Maritime Center (NMC). The incumbent provides executive level administrative services for the Commanding Officer and Deputy Director of the National Maritime Center and general support to the NMC Command staff. Being a Coast Guard civilian makes you a valuable member of the Coast Guard team. Typical work assignments include: Exercising exclusive control over the Commanding Officer and Deputy Director's appointments, with complete authority for commitments of the Commanding Officer and Deputy Director's time. Screening all calls and visitors. Determining which calls can be answered personally, and which should be directed elsewhere. Obtaining background information before referring calls to the Commanding Officer and Deputy Director or other staff. Screening all meeting requests. Obtaining background information before setting meetings to the Commanding Officer and Deputy Director's schedule. Receiving correspondence for the Commanding Officer and Deputy Director. Responsible for replying to mail not requiring the supervisor's attention, routing all other matters to the appropriate staff member, utilizing available information technology resources as necessary. Maintaining the correspondence tracking system to ensure that deadlines are met. Follows-up to ensure that actions are completed. Responsible for screening and proofreading all correspondence prepared for the Commanding Officer and Deputy Director's signature for clarity, completeness, and grammatical, format, and procedural correctness. Returning inadequate submissions for retyping or re-composition of major issues. Manages incoming and outgoing electronic mail and messages using the Coast Guard Standard Workstation, ensuring successful transmittals to/from contacts. Responsible for printing hard copies of emails when needed, and routes messages to proper recipients. Crafts basic correspondence, e.g. thank you notes and basic informational letters using templates and following established work instructions. Arranging conferences and meetings for the Commanding Officer and Deputy Director, to include visits to the NMC by both internal and external stakeholders. Preparing agendas, notifies participants, and arranges all matters associated with conferences, meetings or visits. May also perform as recorder for such meetings. Ensuring that commitments made during such meetings are followed though, and keeps the supervisor informed of their progress. Utilizing the Coast Guard Standard Workstation in order to prepare correspondence and documents for the Commanding Officer and Deputy Director's signature. Utilizing various other tracking and database applications to accomplish NMC goals. Maintaining work instructions specific to front office functions, e.g. VIP visit protocols. Preparing travel orders, trip folders, itineraries and agendas to support Commanding Officer and Deputy Director official travel in accordance with applicable instructions. Completing travel claims for the Commanding Officer & Deputy Director. Preparing travel orders for NMC Command staff personnel and assists them in the completion of travel claims. Requirements Conditions of Employment U.S. Citizenship is required. Ability to type 40 words per minute is mandatory. This position may require a one-year probationary period. Qualifications At the GS-7 level, candidates must have one year of specialized experience equivalent to at least the GS-6 level in the federal service. At the GS-8 level, the candidate must posses one year of specialized experience equivalent to the GS-7 level in the Federal service.
