  Summary / Role Purpose

  Sales & Order Operations Specialist II is an integral member of the team responsible for managing an end to end process for renewal and new sales, partnering with account managers to support sales cycle and business objectives. Also acts as primary point of contact for internal and external customers and support continuous improvement for Sales Operations team.

  Key Duties and Responsibilities

  Sales Cycle and Related Workflow ResponsibilitiesEngage with sales rep to prepare, review, process and expedite sales orders and related workflow and servicesResearch and understand account data, order history, discounting and/or special pricing situations to help with quote proposal generationPreparation of contracts following internal policies and legal proceduresAct as the primary contact for customer on order related questions such as order status, account issues, license configuration etc.Involve stakeholders (Account Managers, Legal, Finance, Business Operations etc.) to ensure timely submission and processing of revenuePerform post-order procedures, such as revenue reconciliation and order split, etcMeet regularly with account managers to review opportunities, take pro-active actions for smooth closing of dealsCoordinate with technical staff to resolve Customer Portal access problems & license installation issuesInstruct and support Channel Partners on order processTrain team members and sales team on sales policies and processes

  Account Data Administration and reportingRegistration and update of account and contact dataAdministers renewal opportunities within the CRM; including revenue reconciliation activities for accurate forecast and planningEnsure data accuracy in internal reporting and tracking sheets

  Project ManagementIdentify opportunities for improvement in process and automation and propose solutions for more efficiencyPlan and execute mid-term projects, involving several stakeholders Work with global team on implementing new processes and systems, through giving feedback on local exceptions and supporting on testing

  Minimum Education/Certification Requirements and Experience

  Bachelor's degree in business or accounting or related fieldMinimum of 2 to 5 years of experience in a sales operations, sales support, sales planning, sales strategy in a corporate setting. Advanced English language proficiency (able to read, write and speak in business environment)Intermediate Japanese language proficiency (able to read, write and speak in business environment)Advanced excel knowledge (able to use complex formulas, Pivot table, Macros/VBA)Experience in preparing and making presentation using PowerPoint.Experience in working with CRM such as SFDCComfortable in dealing with large data and creating reports
