We are seeking a friendly and organized Receptionist to be the first point of contact for customers and visitors at our client’s office. The ideal candidate will have excellent communication skills, a warm demeanor, and the ability to multitask in a fast-paced environment. This role is crucial in ensuring a positive customer experience and providing administrative support to the team.
Key Responsibilities
Customer Service:
Greet and welcome visitors in a professional and friendly manner.
Answer incoming calls, route them to the appropriate departments, and take messages as needed.
Assist customers with inquiries and provide accurate information about services.
Administrative Support:
Schedule appointments and coordinate with technicians and field staff.
Manage and maintain office calendars and schedules.
Handle incoming and outgoing mail, packages, and deliveries.
Office Management:
Keep the reception area and common office spaces neat and organized.
Monitor office supplies and coordinate orders as needed.
Recordkeeping:
Maintain accurate records of customer interactions and update databases.
Assist with filing, data entry, and other administrative tasks as assigned.
Requirements
Proven experience as a receptionist, front desk associate, or similar role.
Excellent communication and interpersonal skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office equipment (e.g., phone systems, copiers).
Strong organizational skills and attention to detail.
Ability to multitask and work in a fast-paced environment.
Experience in the HVAC or trades industry (preferred but not required).
