Job Description
Your Team
The Purchasing Agent establishes budgets through accurate and detailed estimating of construction drawings. Solicit and gather bids for the purpose of establishing final budgets and the issuing of contracts for the intended work. Take full responsibility for bidding and contracting vendors, trader partners, and suppliers, Assist with negotiating and hiring trade contractors to maintain a competitive edge on costs while meeting the company’s standards of quality, reliability, and overall performance of trade contractors and suppliers.
Your Key Deliverables
Product Development & Production
Provide input on new product development including value engineering and alternative materials.
Assist in preparation of project estimates, conducting cost analysis and complete budget reviews for cost control, cost to complete, and project cost summaries
Study, understand and memorize all current plans and specifications
Know and understand the spec level and theme of the neighborhood
Knowledge of the latest building products and gather samples for evaluation
Acquire current costing and availability of products under evaluation
Develop standard specifications for review with the team
Actively participate in the Quality Assurance Program.
Attend prototype walks for new product and request revised bids for revisions
Bidding
Ensure all project bid lets are completed timely and accurately, including set up to go out, review and comparison of submitted costs, recommendations for awarded trade contractors for committee review.
Prepare bid lists and secure bid interest
Recruit new, qualified trade contractors and suppliers, in addition to facilitating the improvement of existing trade contractor and supplier relationships.
Preparation and distribution of bid packages
Bid negotiation and analysis on base homes and all options
Compare bids with respect to prices, past performance (quality, ability to work on schedule, proper supervision of their tradesmen) financial stability, or in the case of a trade contractor new to the company, their relationship with other builders
Calculate and maintain material take-offs (lumber, finishing materials, steel, concrete, etc. as needed for division) from working drawings and check take-offs made by suppliers
Prepare direct construction budget for each community based on overall mix
Contract Administration
Prepare final specifications spreadsheet for the use in preparation of the committing documents by the Contract Administrator
Final review of all drafted committing documents prior to the Purchasing Managers review
Evaluate and analyze all change order requests, including changes to the option program
Monitor contract execution progress
Review new products and vendors to identify opportunities for improved quality and cost effectiveness for cost analysis and consideration on future projects or specifications
Newstar Model and Budget Setup and Entry
Setup models in Newstar
Enter room measures in Newstar
Setup and maintain Product library in Newstar
Build Projects within New Star utilizing Sales & Take-Offs and Model Subcontracts
Work with Design Center to establish and build out option/upgrade program for each community
Budget Maintenance and Team Support
Maintain open communication with Site Managers and Community Coordinators
Complete budget corrections/adjustments in New Star as needed
Enter revised bids in New Star as needed
Validate and eliminate variances to the Direct Construction Budget
Perform cost comparisons and analyses as needed
Monitor construction schedules and vendor performance to expected results with Site Manager and Customer Care Representatives and initiate corrective action and change process, when required
Must Haves
3 - 5 years of related experience
Strong knowledge of and experience with general contract terms and conditions
Strong communication and negotiation skills
Demonstrated experience in managing suppliers and developing ongoing relationships
Experience in take-offs and estimates
Strong analytical and problem-solving skills
Excellent at planning and organizing
Knowledge of Excel, Word, Outlook, BIM 360 and Bluebeam required
NewStar & BuildPro Experience required
Nice to Haves
Degree in Business or Supply Chain Management preferred
