About Property Administrator

Description We are looking for a Property Administrator to join our team in Fairfield, New Jersey. This role will require you to handle a variety of tasks related to the management and operation of real estate properties, while working in a dynamic and fast-paced environment. This position offers a contract to permanent employment opportunity.

Responsibilities:

• Manage residential invoices through scanning, sorting, and forwarding to the billing department

• Handle all aspects of vacant PSEG invoices, including processing, electronic stamping, uploading, and account creation

• Coordinate service requests for residential maintenance, and assist in lease management tasks

• Address resident calls, complaints, and inquiries, providing excellent customer service and acting as a liaison between residents and residential staff

• Oversee email coordination, managing correspondence from various properties related to billing, pest control, and other matters

• Maintain and update the on-call schedule on a weekly basis

• Process move-ins paperwork, print copies of leases for residents, and handle mail distribution

• Maintain and update resident files, ensuring all necessary documentation is present and organized

• Issue parking stickers, visitor passes, and update relevant departments for any changes or charges

• Create and send rent concession agreements to residents, managing the scanning, renaming, and saving of all documents

• Perform office maintenance duties, including filling the front copier with paper and stamping outgoing mail

• Cover phones for the company as needed, and handle vendor insurance requests when necessary

• Utilize CRM to manage customer records and interactions, and assist with budget processes and approved invoices within the property management industry. Requirements • Demonstrated proficiency in CRM (Customer Relationship Management) systems.

• Experience with billing functions, including invoice generation and payment tracking.

• Knowledge of budget processes, including budget planning and financial forecasting.

• Prior experience in property management, including tenant communication, maintenance coordination, and lease administration.

• Ability to process approved invoices, ensuring timely and accurate payments.

• Strong organizational skills to manage multiple properties and client accounts.

• Excellent communication skills, both written and verbal, for interaction with tenants, property owners, and service providers.

• Understanding of real estate regulations and legal guidelines.

• Proficiency in Microsoft Office Suite, particularly Excel for financial reporting and budget management.

• Ability to work independently and as part of a team.

• Strong problem-solving skills to address property-related issues effectively.

• Detail-oriented with the ability to maintain accurate records and reports.

• Bachelor's degree in Business Administration, Real Estate, or related field preferred.

• Relevant certification in Property Management or Real Estate can be a plus.
