Description
We are in search of a Project Coordinator to join our team in the construction industry, located in Dallas, Texas. The role will involve supporting project management teams, administrating various aspects of construction projects, and ensuring compliance with company policies. This role offers a stimulating opportunity to work with a variety of projects and to contribute significantly to their successful completion.
Responsibilities:
• Support the project management team across multiple projects by handling construction project administration tasks in line with company policy.
• Coordinate the setup of new vendors, ensuring all necessary documentation is obtained.
• Manage and maintain all filing for assigned projects.
• Oversee the initial project budget and contract schedule of values, uploading these details into Sage 300/Procore.
• Generate, assemble, and distribute subcontractor contracts/purchase orders via DocuSign, uploading completed contract packages to Procore.
• Ensure subcontractor compliance with company policy and contract terms, this includes handling SureTec reports, insurance and lien releases.
• Review monthly subcontractor billing for accuracy, verifying that all required backup documentation is included.
• Create and manage owner change orders, subcontractor change orders, and back charges in Procore as directed by the Project Manager.
• Timely and accurate processing of monthly General Construction G702/703 requisition billing.
• Collect, code, and obtain approvals for weekly vendor invoices on assigned projects.
• Assist in resolving billing and payment issues.
• Coordinate correspondence and follow-up on outstanding items with subcontractors, suppliers, Construction Accountant, Project Accountant, and Controller.
• Aid in project close-out, ensuring all deadlines are met.
Requirements • Must hold a minimum of 2 years of experience in a Project Coordinator role or similar capacity.
• Proficient in handling Accounts Payable (AP) and Accounts Receivable (AR).
• Strong data entry skills required for maintaining and updating project databases.
• Extensive experience in invoice processing to ensure timely and accurate payments.
• Proficiency in Microsoft Excel is essential for data organization and project tracking.
• Knowledge of Procore project management software for efficient project coordination.
• Experience with AIA Billing to manage invoicing in construction projects.
