Position Objective: Provide services as a Program Analyst in support of the overall functions of the National Institute of Environmental Health Sciences (NIEHS) within the National Institutes of Health (NIH). The purpose of this position is to support various strategic workforce management initiatives. Initiatives include, but are not limited to staffing management, recruitment and overall workforce development activities.
Duties and Responsibilities:
Provide program support to staff for the implementation and facilitation of Title 42and Committees on Promotions COP functions, including promotions, recruitments, selections and retentions; respond to inquiries; create informational materials; provides scientific feedback. 1
Read, interpret, analyze and condense material from a variety of sources for presentation.
Prepare presentation materials such as handouts, meeting materials, slide presentations, and background/supplemental documents, spreadsheets, charts and graphs for conferences, committee, .meetings, workshops and group updates.
Perform logistical planning for various scientific meetings, conference calls, symposia, lectures, workshops and special projects.
Give regular progress reports to sponsor and stakeholders.
Ensure that all aspects of the programs are tracked and reported, key milestones and deliverables dates are known and adhered to, and that all individuals and partners involved are kept appraised of progress of integrated tasks and next steps.
Conduct project close out reviews to reflect on current processes and identify areas for improvement.
Prepare Title 42 packages (appointments, renewals, and terminations), Tenure Track paperwork, cash nomination forms, employment verification letters, collaboration/grant consulting letters, IRTA and Visiting Fellow Certificates. 2
Track action items and tasks; provide deadline reminders to staff; maintain spreadsheets of relevant information for grants, contracts and other programs.
Maintain information databases (e.g. SharePoint sites); provide document retrieval support 3
Work products and documents related to providing support and assistance with the program management of the Title 42 and COP Team functions; responding to inquiries; creating informational materials - Weekly
Work products and documents related to assisting with new recruitments; Developing memorandums and job announcements; organizing logistical support for meetings, workshops and seminars; coordinating COP’s process. - Ad-Hoc
Work products and documents related to the evaluating COP’s programs, including performance, awards, and spring increase cycle; coordinating hiring activities with search committee. - Ad-Hoc
Work products and documents related to monitoring active personnel cases and upcoming recruitments, renewals, and promotion of scientific staff; reviewing scientific applicants; tracking and monitoring personnel renewals for scientific staff. - Bi-Weekly
Work products and documents related to responding to inquiries; working with staff on special projects; preparing charts and tables; writing narratives on the general state of the program. - Ad-Hoc
Basic Qualifications:
Bachelor's degree in general business.
Skilled in Microsoft Teams, Microsoft Office Suite, Zoom, Adobe Acrobat, and SharePoint.
Possess presentation skills and experienced in database management, meeting facilitation, presentation development, written communication, and workshop and conference planning.
Minimum Qualifications:
Ability to multi-task and pay close attention to detail.
Excellent analytical, organizational and time management skills.
Strong communication skills, both oral and written.
