JOB DESCRIPTION:
Coordinates and maintains project activities and status for multiple simultaneous projects. Takes the initiative on project administration responsibilities including meeting scheduling, obtaining documents, drafting meeting agendas or power points, compiling and distributing meeting notes as well as responding to inquiries.
JOB RESPONSIBILITIES :
This position supports the Change Management team and its initiatives.
This role is Hybrid and reports to the Houston, TX location and will be required to be in person 50% or as needed.
Operating under the guidance of a Project Manager or member of management, tracks activities of multiple and simultaneous projects.
Develops activity log to identify project phase, activity, steps, owner, dependencies, status, risk, expenses, and deadline.
Maintains Activity Log for each project.
Monitors deadlines and project progress identifying potential conflicts, issues, or risks.
Takes the initiative to obtain activity status and supporting documents from team members.
May include location inventory or survey results.
Drafts and updates project status PowerPoint presentations for team and management review and input.
May collects, format, organizes, and maintains product image library and descriptions ensuring high-resolution images and descriptions consistent with brand standards and business requirements.
Runs queries and reports as needed in support of projects or as requested by department or Location Leadership.
Schedule recurring team meetings.
Gathers and distributes agenda and documents for meetings.
Reviews project invoices for completeness, obtains approvals, and processes for payment.
Tracks expenses against budget and escalates projected overspending.
May track vendor deliverables against service level agreement.
Responds to department email box and Heat Ticket requests.
As needed, contacts user to clarify needs.
Responds to inquiries according to operating procedures.
Takes the initiative to contact the appropriate resource to obtain information for the response.
Tracks inquiries, identifies trends, and suggests enhancements to material, tools, or procedures.
MINIMUM REQUIREMENTS:
Education:
Bachelor’s degree in Business, Marketing or a related disciplineExperience:
At least two (2) years’ related experience
Experience running reports from various databases, combining, and validating data
Knowledge, Skills & Abilities:
Ability to self-manage workload and priorities to meet expectations and deadlines
Proficient Excel, PowerPoint and MS Office skills
