GENERAL DESCRIPTIONThe Facilities and Asset Management Division of the Office of the Attorney General (OAG), is seeking an Administrative Assistant who provides administrative support and technical program assistance. Work involves coordination of information and communication, development of filing systems and processes, administrative internal support, and ensuring staff understanding and adherence to agency, division, and industry standards and procedures.The OAG is a dynamic state agency with over 4,000 employees throughout the State of Texas. Interprets and evaluates information concerning agency programs and procedures, and makes recommendations as appropriate; responds to inquiries and interprets agency rules, regulations, policies, procedures, and assists in maintaining division compliance; assists division leadership in the planning and execution of the divisions programs; assists with special projects; researches technical issues; coordinates calendars, meetings, travel, and conferences.Performs office duties, including ordering supplies, basic bookkeeping, assists management with general human resources processes; assists warehouse staff and management by answering and directing phone calls, taking messages, answering general questions regarding warehouse services, and greets and directs visitors to the appropriate staff and location; coordinates and evaluates filing, record-keeping systems, and records management systems for aspects of the division located at the warehouse.Coordinates the preparation of information; creates, reviews, and edits correspondence, memos, charts, reports, presentations, and spreadsheets; prepares and disseminates information concerning division programs and procedures; compiles, reviews, and enters data in charts, graphs, and databases; coordinates the research, design, and editing of division publications such as webpages, forms and manuals, and may develop, review, and edit training materials.Assists Asset Management with tracking, status follow-up, and documentation for items in the surplus and disposal process; provides accountability for staff and other agencies regarding the completion of timeframes within the surplus and disposal process.May assist with processing various documents and information to the Centralized Accounting and Payroll/Personnel System (CAPPS) financial system for financial transactions.Serves as the warehouse Records Management Liaison (RML) and as the primary point of contact for records management coordination between the division and the Information Governance Division. Responsible for managing records and information in accordance with the Records and InformationManagement Program and established record retention schedule. Responsible for coordinating the appropriate disposition of agency records in compliance with the record retention schedule.Serves as the warehouse liaison for division communication, accessibility, employee leave, maintenance requests, inventory, mail, personnel, purchasing, training, and travel; attends office manager meetings on behalf of the warehouse staff and in coordination with the division office manager.May serve as back-up t the Logistics Coordinator and assist Logistical Operations with communication, planning, and executing projects.Performs related work as assignedMaintains relevant knowledge necessary to perform essential job functionsAttends work regularly in compliance with agreed-upon work scheduleEnsures security and confidentiality of sensitive and/or protected informationComplies with all agency policies and procedures, including those pertaining to ethics and integrityQualifications: MINIMUM QUALIFICATIONSEducation: Graduation from high school or equivalentExperience: Three years of full-time experience working in administrative support or closely related fieldsProficiency with Microsoft Office with an emphasis in ExcelSkill in handling multiple tasks, prioritizing, and meeting deadlinesSkill in effective oral and written communicationSkill in exercising sound judgment and effective decision makingAbility to receive and respond positively to constructive feedbackAbility to work cooperatively with others in a professional office environmentAbility to provide excellent customer serviceSkill in general office practices and administrative proceduresAbility to work safely in a warehouse environmentAbility to work in person at assigned OAG work location, perform all assigned tasks at designated OAG work space within OAG work location, and perform in-person work with coworkers (e.g., collaborating, training, mentoring) for the entirety of every work week (unless on approved leave)Ability to arrange for personal transportation for business-related travelAbility to work more than 40 hours as needed and in compliance with the FLSAAbility to lift and relocate 30 lbs.Ability to travel (including overnight travel) up to 5%PREFERRED QUALIFICATIONSEducation: Bachelor's degree from an accredited college or university; experience in the following (or closely related) fields may be substituted for the required education on a year-for-year basisExperience: Working in state governmentKnowledge: Familiar with warehouse operations, supply management, asset management, property management, distribution, logistics, or receivingSkills: Ability to communicate in SpanishTO APPLYTo apply for a job with the OAG, electronic applications can be submitted through CAPPS Recruit.
