TITLE: Nutrition Administrative Support - PT
DEPARTMENT: Council on Aging
PAY LEVEL: Level 8 Step 1-3
SALARY: \$17.68-18.39 per hour

SUPERVISOR: Nutrition Coordinator

PERCENTAGE of TIME ACCOUNTABILITY
70% Answers phones, manages calls and meal cancellations
15% Enters data into agency database and prepares statistical reports
10% Files and coordinates departmental correspondence
5% Other duties as assigned
SCOPE
The primary responsibility of this position is to manage calls for theNutrition Department during the power hours of
8:00 am 1:00 pm. by routing them to the proper extensions or takingmessages and delivering them via email.
KNOWLEDGE AND SKILLS
1. Serves as the face of the department, offering friendly service tothose calling in on the phone.
2. Possesses strong verbal and written communication skills.
3. Organizes work, sets priorities, meets critical deadlines andcompletes tasks with minimal direction.
4. Possesses proficiency with Microsoft Office programs and data entry.
5. Understands and follows oral and written instructions.
6. Establishes and maintains effective collaborative workingrelationships with co-workers.
HUMAN RELATIONS
1. Communicates effectively, verbally and in writing with clients andco-workers.
2. Establishes and maintains effective working relationships withclients, other agencies and or departments,
supervisors, and co-workers.
3. Maintains a professional working attitude and professional dresswhile representing the agency.
ILLUSTRATIVE TASKS
1. Manages calls for the Nutrition Department during the power hours of8:00 am 1:00 pm. by routing them to
the proper extensions or taking messages and delivering them via email.
2. Monitors and communicates meal cancellations to team.

3. Fields calls and completes departments Not At Home log during meallog and communicates with emergency
contacts, staff and volunteers.
4. Enters data into agency database (ServTracker) and preparesstatistical reports
5. Files departmental resources.
6. Creates, organizes and prepares departmental and programcommunication.
7. Assists with Leisure and Learning and fundraising events as needed.
8. All other duties as assigned.
ADA/PHYSICAL DEMANDS
Vision - Adequate to use personal computer, filing, and completion ofreports, forms and correspondence.
Hearing - Adequate for conversation with employees or applicants and thegeneral public.
Speech - Must be able to speak and understand the English languageclearly to provide detailed information by
telephone and in person.
Standing - 10% of the time when performing filing tasks and whenoperating various office machines.
Walking - 20% of time when delivering or retrieving in formation, files,etc., from within the office or from other
departments.
Sitting - 80% of time when completing administrative tasks and computerand telephone work assignments.
Lifting/Carrying - 25 pounds lifting files, office supplies, reports.
Climbing/Balancing - Required when negotiating stairs, retrievingsupplies, walking.
Pushing/Pulling - Minimal
Stooping/Kneeling - Required when retrieving files from lower drawers orwhen retrieving items, office
supplies from the floor.
Reaching/Handling - Required on most tasks.
ENVIRONMENTAL DEMANDS
Work is performed in a modern, smoke free, office setting.
MINIMUM QUALIFICATIONS
High School diploma or GED
Any combination of experience and training equivalent to graduation frombusiness or vocational school,
including or supplemented by training in computer science, accountingand office procedures or two years of
experience in customer service and general office work.
