Overview
TheLicensing Coordinatorserves as a primary point of contact with our stores and will also assist in contacts with government agencies. The licensing coordinator supports the management (tracking and distributing) of licenses for approximately 1,500 convenience store locations, with occasional duties assigned by other members of the legal team.
Responsibilities
+ + Respond to inquiries from stores regarding license and permit renewals, violations, and providing duplicate copies.
Work with, and follow-up with, other company departments (such as fuel, tax, and facilities) regarding complicated renewals and new licenses requiring supporting documentation including sales information, facilities-related details, etc.
Follow-up on and complete renewals for which deadlines are approaching.
Follow-up on missing and expired permits by calling jurisdictions to research, resolve, and obtain new permits, if required.
Research notices of deficiencies on permits due to failed inspections or missing information.
Maintain licensing database (cloud-based).
Assist in obtaining licenses and permits for acquisitions and new store openings, including completing application forms and conducting research (online and by calling jurisdictions).
Ensure that stores are aware of posting requirements and certification requirements for store personnel (such as BARS training).
Code license renewals and new licenses correctly for proper payment including batch submissions to accounts payable.
Arrange for payment of fines and coordination with other departments on fines and violations.
Assist with day-to-day administrative tasks.
Ongoing updates and routine maintenance of business license database.
Maintain licensing database (cloud-based).
Qualifications
High School Diploma or GED from accredited school; bachelor’s degree preferred.
Prior experience in an administrative or accounting role
3+ Years of Legal/Licensing Experience preferred.
Good data entry, Excel skills
Ability to communicate effectively over the phone and via e-mail.
Ability to change direction rapidly when priorities or deadlines shift
Proficiency in Outlook, Word and Excel.
Ability to work with a large volume of documents under critical deadlines.
Strong word processing, filing, organizing and communications skills are necessary.
Must be able to multi-task in a fast-paced environment in an organized, accurate and efficient manner.
Must be self-reliant, highly motivated, and able to work both independently and with a team.
Must be detail – oriented, resourceful, punctual, and reliable.
The ideal candidate should possess a friendly demeanor and team-spirit.
Ability to build relationships at all levels internally and externally
Proven ability to use discretion when working with confidential information
