ResponsibilitiesAdminister the absence management program to include: manage and facilitate the leave process for employees; evaluate the conditions surrounding leave circumstances; act as an advisor to HR members and management' serve as a liaison to third party vendors and leave administrators; and provide necessary reporting to appropriate parties regarding the leaves of absence. Coordinate and administer all aspects of the employee leaves to ensure compliance with company policies, federal and state leave regulations, staying aware of regulatory changes in the areas of FMLA, ADAA, State Disability, Paid Family Leave, and Paid Sick Leave
Serve as the subject matter expert for the leave policies and programs in alignment and under the direction and guidance of HR management and legal counsel.Interpret and administer leave programs and policies in accordance with applicable federal and state employment laws (FMLA, ADAAA, State Disability, Paid Family Leave, Paid Sick Leave, USERRA, HIPAA, ect.), as well as company sponsored disability benefit programs (STD, LTD, Etc.)Create, document and maintain solid operational processes and practices to ensure compliance and consistency in the execution and administration of leaves of absence. Develop appropriate Leave Management strategies to ensure prompt and accurate decisions. Facilitate the Leave Process by serving as the point of contact for employees, managers, and third party vendors and leave administrators. Provide leave of absence guidance and direction to employees, HR members, managers and payroll.Serve as a liaison to third party vendors and leave administrators in the following areas'Design, implement, and maintain policies and proceduresOversee the transfer of data/eligibility files between HRIS/HCM infrastructure and vendorVerification of leave commencement and payroll dataMonitor leave of absence activity and communicate to managersConduct intermittent leave consultationsUtilize vendor's specialized reporting and trend analysis toolsInteract with account management team ofr problem solving in finding effective solutions.Collaborate with vendors, leave administrators, management and legal councel on complex, unique or unusual leave mattersAssist employees with their return-to-work and stay-at-home needs including oversight and navigation of reasonable accomidations. Lead the interactive process, documenting the steps taken and ensuring the correct people are involved to drive the determination and outcome on all work accomodation requestsDevelop, generate and present reports to analyze leave data and trends on as as needed basis to provide insights and recommendations to HR and/or internal managementCorrespond with employees on leave of absence for collection of benefit premimums due during the leave and invoice employees or deduct from future paychecks upon their return. Coordinate the cancellation of benefits for either non-payment or exhaustion of group benefit plan continuation during a leave of absence and provide employees with COBRA/continuation options Work closely with other HR team members and consults with benefits and payroll personnel to coordinate changes to benefits and payroll resulting from a leave of absenceAssist in the creation and facilitation of leave administration training programsMaintain confidentiality and comply with Health Insurance Portability and Accountability Act (HIPAA)Maintain working knowledge and understanding of all company sponsored benefit plans and supports all areas of benefits administration as neededUtilize professional judgment in escalating matters pertaining to leave and benefits administration to management as needed Participate in internal and external aduits pertaining to leave and benefitsStay abreast of current trends and regulatroy issues surrounding leave and benefits administrationMaintain proficient knowledge of, and demonstrate ongoing compliance with all laws and regulations applicable to this position, ensure ongoing adherence to pertinent policies, procedures and internal controls, and meet all job-specific requirements in a timely fashion
QualificationsEducation/Training: Associates or Bachelor's degree in Human Resources or related field or equivalent work experience; specialized human resources management education and training; professional designation such as PHR, SPHR, SHRM-CP, SHRM-SCP or CEBS preferred.
Skills: Proven experience with leave of absence administration, including in-depth knowledge of regulatory compliance with federal and state employment/leave laws (FMLA, ADAAA, State Disability, Paid Family Leave, Paid Sick Leave, etc.; understanding of employee benefits as they relate to leaves of absence, including short/long term disability, life insurance waiver of premium, state disability programs, COBRA, ect.; exceptional interpersonal skills with the ability to respond effectively to the most sensitive inquiries, situations or complaints; excellent oral and written communication skills and the ability to communicate with all levels of the organization; strong organization skills, attention to detail and the capability of effective planning and priority setting; ability to function independently in a multi-task environment, as well as part of a team; ability to apply and adapt practices and techniques to meet the needs of the organization's culture; proficiency with Microsoft Office products, along with experience with HRIS/HCM and benefits databases preferred.
Experience: Minimum of 2 years or more experience in managing leave cases (FMLA, State Disability, STD/LTD, ADAAA) in a high volume, multi-state and multi-location environment.
