The Executive Personal Assistant is a professional who provides executive office support for the founder and CEO, and also will serve as the Personal Assistant to the founder if required so he can achieve his primary duties. Skilled in business administrative and communication skills, this professional will act as a liaison between other professionals inside and outside of the company, and the public.
Responsibilities:
Acting as a first point of contact for callers, dealing with emails and phone calls by responding, passing on messages or highlighting them for their manager’s attention
Managing diaries and organizing meetings and appointments, often controlling access to the manager/executive
Booking and arranging travel, transport and accommodation
Organizing events and conferences
Reminding the manager/executive of important tasks and deadlines
Typing, compiling and preparing reports, presentations and correspondence
Managing databases and filing systems
Implementing and maintaining procedures/administrative systems
Achieve workplace efficiency and accuracy in paperwork.
Liaising with staff, suppliers and clients
Collating and filing expenses
Miscellaneous tasks to support their manager, which will vary according to the sector and to the manager’s remit, e.g. completing some corporate governance reporting (to ensure that the business is being run properly and complying with legislation and regulations) or conducting research.
Exceptional qualities:
3-5 years minimum experience working with a high-net-worth family with multiple households
1-3 years minimum experience working in support of a/multiple business units
BA or equivalent experience
Microsoft Suite experience
Excellent oral and written communication skills, superior organizational ability, and attention to detail
Ability to prioritize multiple tasks in a dynamic, deadline driven environment
Possess problem solving skills and be proactive in managing potential issues-forward thinking.
Discretion and ability to maintain family privacy
Organization: Business assistants use their organizational skills to keep a neat workspace and efficiently file and store paperwork.
Customer service: Have strong customer service skills when making and receiving phone calls and coordinating between clients and other professionals.
Data entry: Skilled in data entry and analysis in order to create and maintain accurate business records for their company.

In order to follow scheduling requirements, these professionals use their time-management skills to ensure they are productive and schedule meetings at the best time for everyone involved.
Computer skills: Many of their primary duties are done through a computer application or program, business assistants will need proficient computer skills.
Teamwork: Act as liaisons between departments and must confer with their coworkers to plan meetings, coordinate schedules and complete projects.
