We are offering a long term contract employment opportunity for an Executive Assistant in services management industry, located in Baltimore, Maryland. The successful candidate will be part of a dynamic team, providing support in a fast-paced environment.
Responsibilities:
Administrative Support:
Manage the President’s calendar, scheduling appointments, meetings, and travel arrangements.
Prioritize and manage incoming communications (calls, emails, and messages) and determine the appropriate response or action.
Draft and proofread correspondence, reports, presentations, and other documents for the President.
Prepare and organize materials for meetings, including agendas, minutes, and follow-up actions.
Meeting and Event Coordination:
Schedule and coordinate internal and external meetings for the President, ensuring all logistics (venue, travel, attendees, etc.) are covered.
Attend meetings with the President, take notes, and ensure follow-up actions are completed.
Assist with the planning and execution of events, conferences, and presentations.
Project Management:
Assist with special projects as assigned, ensuring deadlines and deliverables are met.
Help track and follow up on key initiatives and ongoing tasks across various departments.
Communication Liaison:
Serve as the first point of contact for the President’s office, managing relationships with key stakeholders, including board members, executives, clients, and external partners.
Facilitate communication between the President and other members of the executive team and staff.
Confidentiality and Discretion:
Handle sensitive and confidential information with integrity and discretion.
Maintain a professional and polished demeanor when interacting with internal and external parties.
Operational Efficiency:
Ensure that office systems, processes, and procedures run smoothly and efficiently.
Manage office supplies, equipment, and resources to ensure the President’s office is fully equipped.
Requirements
Experience:
Minimum of 5 years of experience as an Executive Assistant or in a similar role, preferably supporting senior executives or high-level leadership.
Experience managing complex calendars, travel arrangements, and communications.
Skills and Competencies:
Exceptional organizational and time-management skills, with the ability to multitask and prioritize in a fast-paced environment.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools.
Strong interpersonal skills with the ability to interact effectively with high-level executives and external stakeholders.
Ability to work independently and anticipate the needs of the President.
Attention to detail, problem-solving abilities, and a proactive mindset.
