  Description

  Robert Half is looking for a dedicated Executive Assistant to support two C-Suite Executives of a commercial real estate company in Columbia, MD.

  Overview of Responsibilities:

  Provide primary day to day administrative support to the Operations C-Suite Executive while performing additional duties to support the Business C-Suite Executive, ensuring to effectively communicate all upcoming commitments and keep them on track.

  Manage the Executive’s incoming/outgoing calls and email correspondence, acting as a gatekeeper and first point of contact.

  Coordinate, schedule, and maintain meetings, calendars, and occasional monthly domestic travel arrangements.

  Prepare conference rooms for anticipated meetings including all logistics, equipment setup, meals, and documents.

  Prepare meeting materials, meeting minutes, reports, agendas, memos, and presentations.

  Prepare quarterly Board materials and support the Sr. Executive Assistant with Board of Trustee requests.

  Conduct research and prepare statistical, financial, and Board related reports, spreadsheets, and dashboards.

  Manage the cost center budget overseen by each Executive including tracking and processing invoices requiring Executive review and approval as well as coordinating invoice payment processing, check requests, and wire transfers.

  Assist Project Managers or vendors under the Executives cost center with resolving issues.

  Maintain, track, and procure vendor W-9’s, Certificates of Insurance, and registration process.

  Assist with coordinating company events or annual gatherings.

  Maintain and order office supplies, order company lunches, and coordinate deliveries.

  Assist with special projects and provide backup support to the Receptionist, Sr. EA, or other administrative department members.

  Requirements

  8+ years of true Executive Assistant experience with a minimum of 3+ years supporting C-Suite level Executives (CEO, COO, CFO, CAO etc.) and Board Members/Board of Trustees and good job longevity.

  Experience working for a medium sized organization (350-500 employees) within commercial real estate, financial, IT, engineering, or government sectors.

  1-2 years of supervisory, team lead, mentorship, training, or management experience (direct or indirect) is highly desired.

  Strong technical skills, particularly in MS Office (Word, Excel, PowerPoint, Outlook etc.); Must know how to navigate virtual meeting platforms: WebEx, MS Teams, Zoom, (required).

  Yardi Voyager and Concur software experience is a plus. but must have proven success learning new systems quickly.

  Strong writing and literacy skills including proofreading, editing, and preparing correspondence, letters, board/meeting materials and presentations.

  Must be able to type at least 65 WPM and have a very high attention to detail and level of accuracy.

  Must have a strong business acumen and high level of professionalism with the ability to interact with executive level leadership.

  Driven, self-motivated, proactive, takes initiative, and adaptable with the ability to anticipate needs and effectively multi-task and prioritize competing tasks in a fast-paced environment.
