Executive Administrative Assistant needed to support Sales and Marketing area of a large and desirable company located in the Downtown Chattanooga area. This is a temporary to hire position. Company offers top notch salary, full benefits package including 401K and yearly bonus potential once hired full time.
Here are typical job duties for this role:
Calendar Management: Schedule and coordinate appointments, meetings, and events for the executive. Manage the executive's calendar efficiently, taking into account priorities and deadlines.
Communication Handling: Screen and manage incoming calls, emails, and correspondence. Respond to routine inquiries on behalf of the executive and prioritize messages for attention.
Travel Arrangements: Coordinate and arrange travel logistics, including flights, accommodations, and itineraries. Ensure that travel plans align with the executive's schedule and business priorities.
Meeting Coordination: Plan, organize, and coordinate meetings. Prepare meeting agendas, take minutes, and distribute relevant documents. Follow up on action items resulting from meetings.
Document Preparation: Draft and edit correspondence, presentations, reports, and other documents. Ensure that all materials are accurate, well-organized, and aligned with the executive's communication style.
Data Management: Maintain organized and up-to-date electronic and physical filing systems. Handle confidential information with discretion and ensure data accuracy.
Relationship Management: Build and maintain positive relationships with internal and external stakeholders, including clients, vendors, and team members.
Task Prioritization: Assist in prioritizing tasks and managing deadlines. Help the executive stay organized and focused on key objectives.
Expense Management: Track and manage the executive's expenses, ensuring accurate record-keeping and adherence to budget guidelines.
Special Projects: Assist with special projects and initiatives as assigned by the executive. This may involve research, analysis, and coordination of various tasks.
Office Coordination: Collaborate with other administrative staff to ensure the smooth functioning of the office. This includes ordering supplies, coordinating office events, and maintaining a clean and organized workspace.
Information Dissemination: Distribute relevant information to team members or other departments as needed. Ensure effective communication within the organization.
Problem Resolution: Address and resolve administrative issues as they arise, exercising sound judgment and initiative.
Adaptability: Be flexible and adaptable to changing priorities and requirements. Assist the executive in managing a dynamic and fast-paced work environment.
Technology Proficiency: Utilize various software and tools for efficient task management, communication, and document creation.
The role requires strong organizational skills, attention to detail, effective communication, and the ability to handle multiple tasks simultaneously. It plays a crucial part in supporting the Sales and Marketing Executive in achieving their goals and objectives.
*All applicants MUST have prior experience as an Executive Assistant or 3+ years of Administrative Support experience.

Wide ranging experience with Microsoft PowerPoint
Quality experience with Microsoft Excel
Earlier work involving Concur
Good understanding of Canva
Practical knowledge of Organizational capabilities
Previous experience working with Resolve Technical Problems
General familiarity with travel arrangements
Proven ability to use the internet for research
