About Executive Administrative Assistant

  Required: * Minimum 1 year experience * Use computers & relevantsoftware, including Microsoft Office Suite * Associate of Arts orMarketing Degree with major work in clerical, admin assistance,applicable computer courses; public relations, personnel, public admin,or related * Web & graphic design/illustration, relational databasemanagement systems or any combo of these fields, proficient in graphicdesign applications, such as Adobe Creative Suite * Proficient withvarious social media platforms * Experience taking & transcribingminutes * Valid Oregon driver\'s license, or obtain within 3 months ofhire * Notary license or obtain within 1 year of hire * Pre-employmentdrug screen Summary: Provides increasingly responsible administrativeassistance to the Manager, & other staff. Confidential & complexadministrative work requiring some specialized knowledge & involvingbroadly defined policies & procedures & administrative support. Maintainwebsite & social media accounts. Plan, develop, organize, & facilitatepublications, events, & info & citizen engagement activities. DutiesInclude: * Provides executive administration support to the Manager *Manage assigned calendars & meeting room schedules * Receives & screenvisitors, phone calls, email, mail, & social media correspondence;provides info & assistance; refers to appropriate departments * Websiteadmin, collaborates with departments to plan, develop, distribute, &update events & info via the website; monitors the website to includetroubleshooting & problem solving; handles customer service-relatedrequests & complaints; collects, analyzes, & develops reports about thewebsite\'s data * Develops & edits graphical content, e-forms,e-materials, video/audio, & maintains graphics & logos * Develops,compiles, organizes, tracks, records, & distributes a variety ofmaterials/data * Writes & edits key internal & external communicationmaterials in an engaging, concise, accurate & appropriate tone;collaborates & creates brochures, posters, flyers, advertisements, &other informational & promotional materials * Develops engaging contentfor the community such as newsletters, infographics, & informationalvideos; maintain contact logs & issue files; enters data & generatesreports * Collaborates with department directors to conductinformational activities to keep the public informed of programs,accomplishments, & points of views; edits documents & publications forconsistency; develops & recommends communication plans & strategies *Provides info needed for consideration * Provides clerical support tomanagement across departments * Provides general support * Takes &transcribes minutes of meetings; compose & send necessary follow-upletters & notices * Required to attend City Council & assigned publicmeetings outside normal working hours to facilitate platform for virtualattendees * Maintains office supply levels & orders supplies or advisesof necessary purchases * Cross trains to provide back-up & officecoverage
