OverviewThe Office of Events is a dynamic department committed to ensuring that events hosted by Utah State University consistently "Exceed Expectations."
Position Summary: The primary responsibility of this role is to collaborate under the guidance of the Event Coordinator. The position involves supporting the Event Coordinator in coordinating various logistical aspects for conferences and events. Tasks include logistical coordination, registration, data entry, financial management, payment processing, and administrative duties. Precise logistical coordination is essential for the success of conferences and events. Responsibilities encompass abstract creation and management, speaker coordination, venue coordination, communication with registrants, on-site services, and miscellaneous tasks assigned by the Event Coordinator. While the Event Assistant is primarily aligned with a designated Event Coordinator, they may collaborate with other Coordinators as required.
Schedule:
Work hours: 20-25 hours per week during semesters, with potential increases during event seasons.Flexibility: Event Assistants can coordinate schedules with the Event Coordinator, prioritizing Monday to Friday availability between 8 am to 5 pm.Expectations: Depending on conference and event schedules, flexibility for evening and weekend work is necessary throughout the year.Travel: Ability and availability to travel for certain conferences and events.Position Details: This is an ACA Variable position.
ResponsibilitiesConference and Event Coordination:
Logistical Coordination
Abstract Coordination: Assist in creating an abstract system for presentations, monitor abstract submissions, and facilitate the acceptance of presentations.
Speaker Management: Serve as the primary contact for speakers, assisting them with presentation and travel needs.Venue Coordination: Assist in coordinating lodging, facilities, AV, food and beverage, parking, signage, etc.Communication with Conference/Event Attendees: Serve as the primary contact for conference/event attendees to address related questions.Onsite Service: Attend conferences/events to assist in managing services.Miscellaneous Assignments: Perform tasks assigned by the Event Coordinator.Registration:
System Creation and Maintenance: Assist in creating and maintaining registration systems for clients.
Monitoring and Support: Monitor registrations and respond to related questions from registrants.Data Entry:
Software Update: Assist in updating Event Management Software (EMS) and application software with relevant conference/event data.
Financial Management:
Statement Update: Assist in updating conference financial statements.
