Division Office Administrator
Role Summary: Overseeing & representing the division/department assigned, the role of the Division Office Administrator is expected to exemplify p rofessionalism and confidentiality . The A dmin istrator will be required to be flexible, with excellent interpersonal skills and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors. High attention to detail, execution, and follow-up are important aspects of success.
Role Responsibilities:
Manage and e xecute departmental processes (invoices, reporting, advances, bonuses, etc) with detail and timeliness and with a f ocus on waste elimination and process improvements.
Execute routine and timely report building and data reporting.
Assist Directors & VPs with assigned tasks, including report building, follow-up, meeting planning and scheduling, and other tasks assigned.
Build and foster relationships with local and national vendors ; to ensure open communication and timeline invoicing and reporting . This may include travel agencies, hotels, schools, recruitment agencies, advertising agencies, and others.
Execute accurate and timely invoice processing across multiple vendors, accounts, and divisions.
Identify discrepancies and delays in invoic ing , following up with third-party vendors or internal divisions as needed . Identify solutions or escalate concerns as necessary .
Follow up on approval processes of leaders within the department (which could include travel, invoicing, or general processes) and challenge discrepancies.
Collaborate and communicate with finance, operations , safety , training, CI, and other divisions or departments as needed.
Sort, process, and distribute incoming and outgoing correspondence.
Set up travel arrangements for members of the Division/ Department, which may include new employees, the leadership team, and recruitment staff . Identify the ideal rates.
Maintain appropriate levels of department supplie s, managing levels with fiscal responsibility .
Support departmental leadership , and their teams, as needed.
Work in a variety of systems and workflows applicable to division/department
