To quote a popular saying at TNC, "you'll join for the mission, and you'll stay for the people."WHAT WE CAN ACHIEVE TOGETHERThe Development Operations and Events Coordinator is an integral part of the Wisconsin chapter's inclusive, donor-centered philanthropy program and plays an important role to ensure major donor experiences are personalized, meaningful, and fun! They are a proactive convener and collaborator with great attention to detail and timely communication skills. The Development Operations and Events Coordinator is a self-starter, a problem solver, and takes initiative in a fast-paced work environment to facilitate the efficiency and organization of the Wisconsin Development Team. In this role you will provide general administrative support to the team with duties to include handling logistics for special events, preparing personalized thank you letters and other donor correspondence, coordinating development mailings (including annual renewals and event invitations), and other administrative responsibilities such as ordering supplies, calendaring, managing digital and paper files, and facilitating team meetings. You also will help support and coordinate engagement between a subset of our donors and the Director of Development and the Wisconsin State Director. You will be required to use the Conservancy's donor database and related technology for donor/constituent management. The Development Operations and Events Coordinator is an excellent communicator and a responsive, driven teammate. In this role, you may have substantial contact with colleagues and members and must provide accurate and prompt responses as needed. You will anticipate program needs and opportunities and share those with colleagues to solve problems, improve procedures, and nurture an effective and ambitious team culture.WE'RE LOOKING FOR YOUThe Development Operations and Events Coordinator is committed to a donor-centric approach to fundraising. This position is often the first person donors (and others interested in supporting TNC) will interact with and must provide a high level of customer service.As the Development Operations and Events Coordinator, you will support the strategic priorities of the eight-person Wisconsin Development Team as we raise funding for critical conservation needs. In this role you must quickly build advanced knowledge of the systems and resources utilized by TNC and the team to provide programmatic support and coordinate communications related to the resources. You will complete activities with multiple variables, setting realist c deadlines, managing the timeline of the overall program, and enhancing the systems and tools used by the team. Responsibilities include coordinating team meetings, managing mailings for donor audiences, serving as the first point of contact for questions from members and colleagues, planning special events, and providing general program and administrative support. Additionally, you will serve as part of a cohort of chapter operations staff that support additional programs and projects within the Wisconsin chapter as required. The successful candidate will bring a people-focused, proactive approach to their work; is flexible and adaptable in a fast-paced work environment; has a strong commitment to continuous learning; and demonstrates genuine enthusiasm for supporting fundraising to protect the land and waters on which all life depends.Duties include: This roles responsiblities will be split 60/40. 60% of the time the focus will be on administration and support. 40% of the time will be fcoused on event planning/coordination Provide administrative support to ensure individual workstreams are moving forward according to timelines, properly documented, and the team feels adequately supported, prepared, informed, and coordinated on project plans and progress. Act independently on assigned tasks and exercise independent judgment based on analysis and experience. Coordinate projects with multiple variables and participants and work within a defined timeline. Financial responsibility includes working within a budget, processing invoices, and contracting with vendors. Provide input for the improvement of existing procedures and programs. Work within scope of program's strategic goals. Demonstrate sensitivity in handling confidential information. Refer difficult questions and unusual problems to supervisor. Infrequent travel and working flexible hours. Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain. Ensure compliance with TNC policies and procedures, and external (donor/legal/IRS) requirements. Does not supervise any staff, but may supervise interns, volunteers, and/or temporary staff. Work is diversified and may not always fall under established practices and guidelines.WHAT YOU'LL BRINGMINIMUM QUALIFICATIONS Bachelor's degree and 2 years' experience OR equivalent combination. Experience building relationships with staff, customers or similar. Experience managing and implementing multiple projects. Experience generating reports and interpreting data. Experience in business writing, editing, and proofreading. Experience working across teams.DESIRED QUALIFICATIONS Multi-lingual skills and multi-cultural or cross-cultural experience are appreciated. Ability to analyze information for the purpose of coordinating and planning activities and solving problems. Ability to use existing technology to achieve desired results. Ability to work under pressure and perform repetitive data entry tasks. Demonstrated experience using diplomacy and tact to build strong relationships and motivate staff. Experience coordinating projects. Experience interpreting guidelines to achieve desired results. Experience with databases and spreadsheet software. Experience, coursework, or other training in principles and practices of philanthropy.
