About Department Clerk 3 (MH)

  · Types letters, reports, memos, minutes, and other documents required by the department staff.

  · Greets and assists general public by providing information or instructions.

  · Sorts, copies, and/or files correspondence and documents within the department.

  · Open, sorts, and distributes department mail.

  · Answers telephone calls and responds to general questions; directs other calls to proper individuals or takes messages.

  · Processes required department documents, forms, and/or reports as required.

  · Updates information to computer databases.

  · Operates computer, printer, copier, or other office equipment as necessary.

  · Assists with other clerical duties in absence of department clerical staff or on an as needed basis.

  · Updates and maintains computer databases used within the department,including updating liability information, documenting receipt of physical healthcare records for the individuals served and updating Acknowledgement Form sign-off dates in the TCM Database.

  · Helps to maintain the database by creating case notes and saving attachments that reflect individual updates and receipt of documentation.

  · Provides support to the Targeted Case Management (TCM) Unit as needed by Case Managers and Supervisors to include, drafting, editing, and mailing correspondence, completing service authorizations, processing service referrals, and monitoring Encounter Form signatures monthly and notifying Supervisors of the results.

  · Monitors and reviews TCM Paperwork Compliance Reports monthly.

  · Completes and updates all required Performance Outcome Management Systems (POMS) data electronically via the Behavioral Health Managed Care Portal.

  · Routinely takes and disseminates minutes for various department meetings and as needed.

  · Attends meetings or training sessions as required.

  · Maintains receipt logs when checks are received, then forwards them to the Fiscal Unit.

  · Completes Liabilities and Liability Redeterminations, annually and as needed for updates.

  · Completes monthly MA Exclusion Checks as required by Medical Assistance Bulletin 99-11-05.

  · Performs other job-related duties as required.
