Job Summary
The Department of Information Science in the College of Media, Communication and Information seeks a Department Assistant ! This role exists to provide general administrative and faculty support relating to the department offices, customer service, facilities in the building (conference room, offices, storage, mailroom, etc.), equipment and supplies, purchasing and travel, department faculty affairs processes, financial process and budget tracking and course scheduling for the Information Science (INFO) department in the College of Media, Communication and Information. Work is performed under the direction of the Business Manager.

What Your Key Responsibilities Will Be
Administrative Support to Department, Chair and Faculty
Serves as the point of contact for administrative matters concerning the department. Attends faculty meetings, takes notes and represents the department and the college at committee meetings and task forces. Collects and organizes syllabi, office hours for all faculty and textbook orders each semester.
Coordinates in conjunction with the department chairperson and associate chairpersons as appropriate the academic scheduling and course offerings for the department. Works with the department leadership to build all courses in CLSS, compile instructor schedule requirements, perform class updates in CU-SIS, advise and prepare course revision forms, and manage wait lists.
Ensures adequate furnishings, equipment and configurations. Coordinates the management of two separate office spaces. Purchases items using vendors in Marketplace. Assists faculty and approved visitors in travel arrangements. Assists with filing reimbursements and submitting receipts and documentation. Makes equipment and supply purchases in consultation with the department chair. Schedules rooms, helps manage departments multiple coordination calendars.
Makes equipment and supply purchases within department budget in consultation with the department chair(s) and business manager.
Supervises student hourly employees. Makes recommendations on staffing needs and hiring decisions within budgets determined by department chairs. Monitors students schedules and performance, delegates tasks as appropriate and provides coaching as needed.
Event Coordination
Develops policies and procedures for department event coordination and management to ensure efficiency and effectiveness of this administrative process. Secures appropriate venue and arranges for receptions and catering. Effectively communicates and updates key collaborators.
Department Communications
Collaborates with the college on promoting and organizing events, and acts as the communication liaison between the college and the department. Manages the all department listserv registration making sure that student listservs are updated each term (before and after census dates) and that the faculty and community-facing listservs are updated accordingly. Collects, composes, and sends out department newsletter. Audits the department/college website on a regular basis to ensure that the most up to date information is posted. Supports and eventually takes leadership of department social media and marketing by providing assistance to faculty members as requested. Assists the faculty member(s) responsible for department talks in organizing the seminars by procuring rooms, assisting with speaker travel arrangements, supervising set-up, promoting the event, recording the event, and uploading videos to the public channel.
Office Reception
Greets, directs and addresses questions and concerns of visitors, students and faculty. Answers main department telephone line and email, answers and directs inquires accordingly. Distributes mail and package deliveries. Forwards requests for general building maintenance and issues. Troubleshoots office equipment and supervises inventory. Troubleshoots office copiers and maintains office supplies inventory. Opens and closes the office.
What You Should Know
The position will work a hybrid format, with 3-4 days a week in person. Hours will be a standard 8-5 with some flexibility.
What We Can Offer
The salary range for this position is $49,000 - $52,700, with relocation assistance available based on department guidelines.

What We Require
Must be a Colorado resident at the time of application.
Three years of general clerical experience. Appropriate education will substitute for the required experience on a year for year basis.

Familiarity with the university's business system and organizational structures.
