  DESCRIPTION

  The non-career position typically works 20 hours per week, and cannot exceed an average of 29 hours per week throughout the year, up to a total of 1600 hours in a year for a maximum of two years. The assignment may end at any time, but under no circumstances will it extend beyond two years. The tentative work schedule for these roles are as follows: Monday-Wednesday (6-8 hours a day) and Thursday-Friday (4 hours a day). Flexibility is offered within typical business hours.

  The Team...

  The Harbor Department is seeking one(1)Clerk Typist II (Non-Career) and one (1) Clerk Typist III (Non-Career)for the Risk Management Division. The Risk Management Division serves as a consultative risk management resource to the Port and its Divisions for the protection of assets and the mitigation of risk by using prudent risk retention, risk transfer, and risk avoidance techniques and programs.

  The Role...

  Clerk Typist II (Non-Career) - Mail Messenger

  (Hourly $20.038 - $27.180)

  Under general management supervision, distributes and processes mail; performs clerical duties, including records maintenance, reception duties and handling of supplies. Responsible for the operation of the Port of Long Beach centralized mail-room and or distribution area.

  Clerk Typist III (Non-Career) - Records Center Clerk

  (Hourly $21.579 - $29.511)

  Under general management supervision, scans & indexes records and documents, retrieves records for customers, distributes and processes mail, performs manual and clerical duties in receiving, storing and issuing supplies and equipment. Responsible for the operation of the Ports Records Center providing a wide variety of administrative and general clerical support.

  How you get to contribute:

  Clerk Typist II (Non-Career)

  Collects, sorts and distributes interdepartmental and Port division mail, US mail, books, and other items between Port locations by automobile, truck, van or foot.

  Weighs US mail and determines correct postage and packaging.

  Transports and delivers interdepartmental mail and US mail from the Harbor Department to City Hall and other Port sites.

  Operates mailroom equipment including, folding, metering and operating insertion machines.

  May carry registered mail from the Harbor Department mailroom to the United States Post Office.

  Stores, issues and delivers supplies and provides equipment.

  Load and operate a delivery truck or van.

  Sends out package notifications.

  Contacts vendors to expedite orders and places verbal orders for contract materials.

  Executes orders for graphic reproduction vendor.

  Operates in-house reprographic equipment including binding machine, punch machine and other related office equipment.

  Interacts with Port staff, contractors and other customers to provide customer service and direction.

  Retrieves, distributes, and ships mail and packages as needed for Port Divisions.

  May assist with records archives duties, including use of EDRMS system for records maintenance.

  Ensure truck or van is properly maintained.

  Opens and distributes mail.

  May assist the Record Center staff with clerical and administrative support.

  May assist the Records Center with project-related clerical tasks, including, but not limited to copying, mailing, emails, etc.

  Performs other duties as required.

  Clerk Typist III (Non-Career)

  Receives, collects, analyzes and prepares records for indexing using established coding structures; protects all vital records.

  Scans and indexes record into Electronic Data Records Management System (EDRMS) following established Records Center rules and procedures.

  Files records electronically after indexing; maintains original record in accordance with records retention schedule.

  Processes records sand off site boxes for destruction.

  Files, maintains and updates sensitive and non-sensitive documents.

  Contacts vendors to expedite orders and places verbal orders for contract materials.

  Executes orders for graphic reproduction vendor.

  Analyzes and solves problems; learns and applies new information or skills; performs highly detailed work on multiple concurrent tasks including customer requests for records.

  Establishes and maintains alpha, numeric and chronological files.

  Assists with records archives duties including the scanning of as-built drawing sets.

  Acts as back up to collect, sort and distribute interdepartmental, Port division and US mail, and other items, as well as weighing US mail and determining correct postage and packaging.

  Acts as a receptionist by screening calls, receiving visitors and providing answers to inquiries.

  Acts as back up to transport US and interdepartmental mail from Harbor Department to City Hall and transport and deliver mail to all external Port sites.

  Creates spreadsheets or similar software applications, including but not limited to tracking contracts and division overhead expenditures.

  Operates office machines.

  Acts as a backup in the Port of Long Beach centralized mailroom and or distribution area.

  Performs other duties as required.

  Required Education, Experience and Qualifications:

  Clerk Typist II (Non-Career)

  High School Diploma or equivalent preferred.

  Minimum one year of progressively responsible clerical experience.

  One year of experience in ordering, receiving, storing, issuing and accounting for a wide variety of materials, tools and equipment; experience operating a variety of machinery and equipment involved in collecting, collating, weighing and stamping mail.

  Previous mailroom and delivery experience is highly desirable.

  Clerk Typist III (Non-Career)

  High School Diploma or equivalent preferred.

  Minimum three years of progressively responsible clerical experience.

  One year of experience in ordering, receiving, storing, issuing and accounting for a wide variety of materials, tools and equipment.

  One year or more of experience operating a variety of machinery and equipment involved in collecting, collating, weighing and stamping mail.

  Previous mailroom and delivery experience is highly desirable

  Professional Knowledge and Characteristics

  Clerk Typist II (Non-Career)

  Requires a general clerical and administrative background.

  Requires an understanding of general office concepts and principles.

  General proficiency with Microsoft Office programs desired.

  Ability to effectively identify, sort and deliver mail, books, materials and equipment according to destination.

  Basic knowledge of customer service to the public, employees and management preferred.

  Basic knowledge of operating office equipment and machinery preferred.

  Requires general proficiency with office machinery including, but not limited to, copier/fax systems, postage machines, letter-folding machines and laminators.

  Clerk Typist III (Non-Career)

  Requires a general clerical and administrative background.

  Requires an understanding of general office concepts and principles.

  Basic knowledge of customer service to the public, employees and management preferred.

  Technical Skills

  Clerk Typist II (Non-Career)

  Using a keyboard, must type accurately at a net speed of 30 words per minute is preferred.

  Ability to file in alphabetical and numerical order required.

  Ability to perform clerical detail, which includes making simple mathematical computations and correcting errors in grammar, spelling and punctuation required.

  Ability to work cooperatively with other employees and the public required.

  Proficiency in the use of MS Office preferred.

  Must possess strong organizational skills and be detail-oriented.

  Must be able to handle frequent interruptions, and to prioritize tasks to complete multiple assignments with competing deadlines.

  Must be able to organize work, set priorities and work away from office with a minimum of supervision.

  Must have a valid California driver’s license to perform work-related duties, includingdriving to and from work sites for mail delivery and pickups.

  Clerk Typist III (Non-Career)

  Using a keyboard, must type accurately at a net speed of 40 words per minute to meet the requirements of the position.

  Ability to file in alphabetical and numerical order required.

  Ability to perform clerical detail, which includes making simple mathematical computations and correcting errors in grammar, spelling and punctuation required.

  Ability to work cooperatively with other employees and the public required.

  Must have proficiency in the use of MS Office, including Word and Excel, Outlook, and other related applications.

  Requires general proficiency with office machinery including, but not limited to, copier/fax systems, postage machines, letter-folding machines and laminators.

  Must possess strong organizational skills and be detail-oriented.

  Ability to review documents and apply, with a high degree of accuracy and timeliness, file categories and indexing structures for a wide variety of documents and materials in a comprehensive document and records management system desired.

  Ability to research and conduct moderately difficult record searches and locate related documents and actions to establish comprehensive historical records for a project, event or action desired.

  Must be able to handle frequent interruptions, and to prioritize tasks to complete multiple assignments with competing deadlines.

  Must be able to organize work, set priorities and work independently with a minimum of supervision.

  Must have a valid California driver’s license to perform work-related duties, including driving to meetings and work-related events.

  SPECIAL NOTE

  This is an unclassified, "at-will" position. The appointed candidate will serve at the discretion of the Port of Long Beach and can be terminated at any time. In such an event, the candidate has no right to any appeal or grievance procedure under any rule or regulation of the City of Long Beach.

  The non-career position typically works 20 hours per week, and cannot exceed an average of 29 hours per week throughout the year, up to a total of 1600 hours in a year for a maximum of two years. Flexibility is offered within typical business hours. The assignment may end at any time, but under no circumstances will it extend beyond two years.

  Non-Career employees are allowed a maximum of 1,600 work hours available over a 12-month period, and are considered temporary, at-will employees who are not typically eligible for benefits. However, Non-Career employees may qualify for health coverage and sick leave accruals subject to applicable federal and state provisions.
