  Job Description

  Duties: The non-negotiable annual salary for this position is $44,775.90 (NAGE Unit 1, Grade 13, Step 1)

  The schedule for these positions is Monday-Friday 9X5

  Prepares reports, memorandums, letters, and related documents on various confidential and related matters. Responds to incarcerated individuals and staff complaints by gathering information and referring to policies, rules etc. Provides routine information concerning agency services according to established procedures. Receives visitors and answers employee questions regarding matters that require a thorough knowledge of the functions of the Superintendent's office. Performs clerical functions, such as typing forms, routine correspondence, envelopes, and labels. Conducts daily filing for incarcerated individual/staff folders. Type all non-contact letters on a daily basis and complete distribution of letters. Updates the non-contact list in the database daily. Opens and date stamps the incoming mail on a daily basis; distributes mail items to appropriate depts. once reviewed by Superintendent. Attends morning meetings in absence of the Office Support Specialist II and responsible for typing the minutes. Assists with answering incoming calls for the Superintendents extension 6100. Performs other duties under the direction of the Office Support Specialist II, in her absence. Performs other duties as assigned. Generates monthly report of non-contact list for Superintendent's review. Processes incarcerated individual to incarcerated individual request to correspond in a timely manner. Enters incarcerated individuals Grievance appeals into IMS database. Enters information accurately and timely in the Commissioners IMS Database. Assists with scheduling Attorney zoom visits.

  Preferred Qualifications:

  Proficient with Microsoft Office software. Knowledge of Department of Correction policies and procedures. Ability to follow written and oral instructions. Ability to work independently using personal initiative. Excellent organizational skills.

  Comments:

  This is a civil service position. The DOC urges bilingual applicants to apply. Please note that salaries for union positions are determined according to the provisions of the respective collective bargaining agreement. Applicants must have no felony convictions, to include any actions defined in 5 U.S.C. 301; U.S.C. 509, 510; 42 U.S.C. 15601-15609. The Massachusetts Department of Correction shall not hire anyone who may have direct contact with offenders, who has engaged in sexual abuse in a prison or other institution as defined in 42 U.S.C. 1997; or has been convicted of engaging or attempting to engage in sexual activity in the community facilitated by force, overt or implied threats of force or coercion, or if the victim did not consent or was unable to consent or refuse, or has been civilly or administratively adjudicated to have engaged in the activity described in the above paragraph. The agency shall consider any incidents of sexual harassment in determining whether to hire anyone who may have contact with offenders or residents.

  Qualifications

  First consideration will be given to those applicants that apply within the first 14 days.

  Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in office work, or (B) and equivalent combination of the required experience and the substitutions below:

  I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience. *

  II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience. *

  III. A diploma for completion of a one year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum or one year of the required experience. *

  IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for two years of the required experience.

  Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
