Responsibilities
WeatherfordMalaga, Perthis currently seeking a fulltime permanentBusiness Support Controllerto perform administrative and office support activities for the Operations Manager.
Priorities: Assist management in administrative detail, all projects
Planning updating forecast and demand for all product lines.
Raising purchase orders
Logistics and despatch paperwork
Maintaining and updating COID log.
COC collation.
Asset coordination.
Coordinate workflow.
Update and chase delegated tasks to ensure progress to deadlines.
Seek greater role in projects within administrative and other areas of competence.
Seek training on projects as needed.
Take initiative in manager's absence.
Protect and withhold confidentiality through all activities; ensure discreet handling of all business.
Activities - provide general and broad administrative and clerical support including; but not limited to: Assist with presentation and report preparation
Complete expense reports processing
Maintain email monitoring and prioritizing.
Handle file organization
Coordinate travel arrangements
Assist personnel, as required.
Provide excellent customer service when interfacing with clients.
Compose correspondence/reports as requested.
Plan and coordinate team and related events and activities
Phone: Provide back-up phone support during meetings and other calls
Coordinate materials for callbacks as needed.
Route calls elsewhere as needed.
Appointments/Meetings: Maintain calendar, conference/meeting schedules; ascertain which events require presence.
Fix commitments to maximize time efficiency; allow decision/desk time.
For meetings organized by the Operations Manager: Prepare agenda in advance.
Arrange meeting facilities including: conference room, projector, food/drinks Prepare and track notes and actions; maintain action logs
Visitors: Screen to control interruptions
Provide support as needed.
Qualifications
SKILLS & KNOWLEDGE:
Minimum 4-5 years general clerical and administrative experience.
Advance skills in MS Office Programs especially Excel and Power BI are essential.
Experience in Repair and Maintenance or Manufacturing is advantageous.
Must be flexible in working from a scratch as there is no system in place yet.
Must have the ability to understand complex build patterns and network systems.
Excellent computer knowledge- MS Office.
Good verbal communication, customer service and multi-tasking skills.
Should be able to work and interact with all levels of personnel.
Good organizational skills/ ability to prioritize work assignments/time management.
Ability to work in team environment.
The physical ability to immediately respond to emergency situations.
Background in HR preferred.
MOBILISATION REQUIREMENTS
Based in Malaga, Perth
8am – 4:30pm standard work hours
Immediate start preferred.
Preferrably living in the North side of the river for closer proximity to the Malaga Office.
