  PURPOSE

  The Business Coordinator I, provides support and coordination of a variety of business activities within University Services, including reviewing business documents and assisting in developing, monitoring, and reporting accounts and budget data.

  RESPONSIBILITIES

  Functional Area 1: Administrative

  Percent Effort: 50%

  Job Duties:

  Verifies accuracy of invoices; processes payments consistent with contract terms utilizing University accounting services software. Manages accounting processes to ensure sufficient funds are available to pay contractors and ensures compliance with all University accounts payable and receivable policies.

  Responsible for the accounting services reports and purchasing requisitions involved with outsourced services dining program, campus bookstore, vending (beverage and snack), banking services, transportation services, and insourced services ID, Mail and Print Services.

  Reviews and audits reconciliations of University Services, commission for contracted services, Mail, Print, All Services, and Dining Dollar accounts.

  Assists SandDollar$ Services (ID Center, Mail, and Print) staff concerning the investigation of charges and reforms.

  Monitors and reports on unit budget activity. Prepares monthly and annual financial reports. Provides input to policies and interprets policies and procedures.

  Coordinates annual fiscal year closing activities.

  Coordinates routine fiscal activities. Proposes solutions to routine financial problems.

  Monitors the established policies and procedures for daily cash handling, sales, and payment transactions. Process and is responsible for the accuracy of daily financial documents, including cashiers' daily transactions and deposits. Responsible for the accounting services reports and purchasing requisitions involving insourced and outsourced services .

  Responds to financial inquiries by gathering, analyzing, summarizing, and interpreting data. Reviews all billings/invoices for accuracy, including maintenance and repair and utility billing.

  Functional Area 2: Operational

  Percent Effort: 25 %

  Job Duties:

  Maintains and organizes office suite filing system, making sure that resources/forms are available for staff. Update/purge/retain files per University and departmental policies for all documents.

  Assists in planning, developing, implementing, coordinating, and monitoring business programs or services.

  Responsible for inventory and maintenance of all kitchen and other equipment utilized by the contractors to provide services.

  Assists with the administration of contracts. Develops financial and statistical analyses and summary reports.

  Participates in the training of business staff and/or student workers and provides supervision as needed. Trains staff on new and existing business procedures and provides policies and regulations to staff.

  Functional Area 3: Support

  Percent Effort: 25%

  Job Duties:

  Supports the Director with the coordination of all business-relat ed activities with employees and review and serve as departmental approver travel, training, purcha sing and payr oll doc uments.

  Assist the Director in coordination of departmental fiscal year end processes in annual budget requests and preparation of required forms to include projection of fee income and other revenue. Prepare documents for any proposed fee increases.

  Work collaboratively with department management team to provide support and assistance to all projects, programs, and activities.

  Performs miscellaneous job-related duties as assigned.

  WHAT YOU WILL NEED

  Bachelors degree in business or related field

  Two years of related experience.

  Additional education may be used as a substitution for the minimum experience requirement:

  Masters degree in business or related field

  Ability to work in a team environment.

  Skills in organizing resources and establishing priorities.

  Ability to foster a cooperative work environment.

  Knowledge of word processing, spreadsheet, and database applications

  Excellent written communication, analytical, interpersonal, and organizational skills

  WHAT THEY WOULD LIKE TO SEE

  Strong analytical and research skills.

  Prefer knowledge of purchasing systems, accounting systems, etc. (Canopy, FAMIS, Concur, etc.)

  Demonstrated ability to work in a dynamic environment of rapidly changing priorities and frequent interruptions.

  SALARY $42,000 - $52,000 (Salary dependent upon education and experience)
