The Pritzker School of Molecular Engineering (PME) was established inMay 2019 and evolved from the Institute for Molecular Engineering,founded in 2011. The PME integrates science and engineering to addressglobal challenges from the molecular level up. The PME\'s rigorousacademic and research programs are made possible through the Universityof Chicago\'s unique partnership with Argonne National Laboratory. ThePritzker School of Molecular Engineering is the first new school at theUniversity of Chicago in three decades and the first school in thenation dedicated to molecular engineering. In the next phase of growthas a School, the PME will continue to expand its team of world-classfaculty researchers and empower students from diverse backgrounds tocollaborate with faculty in cutting-edge facilities. The PME aims tobring solutions for urgent societal problems to the forefront, whiletraining the next generation of scientific leaders and entrepreneurs.
Job Summary
The PME is seeking a Business Administrator to support the day-to-dayoperational and business needs of a group of faculty members within thePritzker School of Molecular Engineering. The Business Administratorreports to the Vice Dean for Research and Infrastructure, providingprofessional support and solving straightforward problems for a broadrange of program operations, business operations, and academicactivities. Additionally, the Business Administrator may prepare andmonitor budgets and draft budget presentations. Responsibilities includemanagement of calendars, meetings, recruitment, project coordination,data coordination and management, recruitment and/or scheduling,preparing and summarizing data for presentations, assisting with grantsand administrative procedures, monitoring aspects of the protocol forcompliance, communications, and supporting collaborative efforts.
Responsibilities
Plans, directs, coordinates, and manages daily operational andbusiness needs.Supports operational projects at the direction of the supportedfaculty, including liaising with internal and externalconstituencies and stakeholders.Performs routine and complex assignments for the unit usually in theareas of procurement, event planning, and support services.Monitors expenses and provides regular updates, ensuring thatspending limits are adhered to and are within budget.Plans and executes various administrative tasks, including assistingwith special projects and events; designing, producing, andcopy-editing complex documents, reports, and presentations; andcollecting and preparing information for meetings with internal andexternal stakeholders.Performs ongoing assessments of office organization and function,identifies operational deficiencies, and recommends and implementssolutions.Manages administrative, expense and logistic support, including butnot limited to calendar management, room reservations, expensemanagement, mail, travel logistics, and recruitment efforts.May prepare presentation decks; creates, edits, and proofscommunications on behalf of supported faculty.In collaboration with PME HR and Academic Affairs, initiatesnon-faculty appointments (postdoctoral researchers, students,temporary staff, academic visitors, and interns), including draftingthe description of duties, onboarding, and offboarding with highconfidentiality and discretion.Serves as liaison for postdoctoral researchers, research staff, andstudents within the labs for space assignments, IT needs, purchasingrequests, reimbursements, and accounts payable.Assists n the monitoring of the various financial and budgetaryactivities, including vendors contracts. Preparing and monitoringthe budget for a unit.Researches and analyzes data to create reports, and may create otherreports for grants and contracts.Performs other related work as needed.Minimum Qualifications
