  50% Leadership and Management

  Manage the day-to-day functions of a multi-discipline, cross-functional, and multi-location academic advising team (assistant directors and advisors), including scheduling, coordination of work, training and compliance, advisor systems, and referring students to appropriate resources/departments/personnel.

  Consult with the management team to address overall quality of advising services and deliverables and ensure milestones are met.

  Monitor, evaluate, and follow up on best practices and approach implementation across teams.

  Inform and oversee systems that support advisors, students, and operations.

  Manage the input of appropriate data into campus service and CRM systems to track usage and content while also informing the knowledge base of those systems’ content.

  Ensure compliance with all student records and enrollment, FERPA, Financial Aid policies, etc.

  Collect, analyze and report student success and/or academic advisor data as requested, providing reports as needed.

  Promote student retention by collaboratively developing, implementing, and maintaining retention practices with the academic advising teams.

  Work with the other Associate Directors and Director to build a comprehensive, ongoing professional development plan/workshop schedule for all advisors and related personnel.

  Address student and parent concerns that become elevated either by students, advisors, or college administration.

  20% - College/School Liaison work/other partners

  Develop and maintain strong institutional relationships with student service units and College/School leads with the aim of providing coordinated student support from an advising lens.

  Communicate regularly with College/School assistant deans about policy, process, and student needs.

  Acts as a key resource for faculty and administrators and interprets policies related to academic advising

  Provide data and feedback related to student flow, curricular or policy concerns.

  Manage the Service Level Agreements for the assigned Student Pathways areas.

  20% - Process Improvement

  Define performance expectations, ensure accountability, provide ongoing feedback, coaching and mentoring to advising leads.

  Analyze student trends and make recommendations for process or policy improvements.

  Collaborate with Orientation & Transition Programs on advising needs during new student orientation and onboarding.

  Work collaboratively with campus partners to meet student needs or improve student related processes in Enrollment Management, Academic Success, Student Affairs, International Affairs and Diversity, Equity, Inclusion and Belonging.

  Analyze, interpret, and respond to daily, monthly, and semesterly metrics on advising and student enrollment. Prepare recommendations for advising leadership.

  Creation of templates and standardized process in consultation with advising leads.

  10% - Other Duties as Assigned

  Assists in strategic planning and vision setting to advance the mission and goals of Academic Success.

  Plans, develops, and manages advising policies and integrates transactional and transformational advising methods into consistent workplace practices.

  Lead efforts for JAA components of the Academic Success strategic priorities or KU strategic plan.

  Represent JAA when called upon by the Director and participate in committees or projects as assigned.

  Participate in relevant professional development.

  Work Schedule:

  The work schedule for this position will coincide with student needs and traffic. Office Hours vary based on location, student demand, and staffing needs. Advising Services at KU are offered from 8am – 6pm Mon-Friday. Some evening and weekend hours may be required with reasonable advanced notice. Hybrid work arrangements are available and will be negotiated upon offer of employment.

  Required Qualifications:

  Master’s degree plus three years’ experience in student services, admissions or related academic services in a higher education setting OR Bachelor's degree PLUS five years’ experience in student services, admissions or related academic services in a higher education setting.

  Three years experience supervising academic advising and/or admissions/recruitment duties at an institution of higher education.

  Documented work experience communicating through written, verbal, and presentation forms.

  Strong leadership, supervisory, planning, problem solving, organizational and project management skills.

  Demonstrated experience analyzing data and setting direction for necessary changes.

  Demonstrated experience communicating effectively with multiple departments and department leaders.

  Demonstrated work experience and understanding of the Family Educational Rights and Privacy Act (FERPA).

  Preferred Qualifications:

  Master’s degree in Higher Education Administration, Student Personnel or related student development field.

  Demonstrated experience working with diverse student populations in a higher education setting.

  Demonstrated experience working with exploring or undecided populations of students.

  Demonstrated experience working in an admissions or recruitment setting.

  Demonstrated experience with advising analytic systems and advising tools.

  Demonstrated experience with the PeopleSoft Student Records (SR) Module or other student information systems.

  Demonstrated experience leading professional staff through large scale change initiatives.

  Demonstrated experience in human resources performance management processes, including Performance Improvement Plans.

  Position Overview:

  Associate Directors for Jayhawk Academic Advising (JAA) provide oversight of the daily operations of academic advising initiatives and services. Each position is responsible for a determined set of academic interest areas (known as Student Pathways) and provides supervision, leadership and coordination to their assigned team. Each associate director works closely with the other advising associate directors and the Director to build a consistent and standardized advising approach and ensures the overall quality expectations, deliverables and milestones of their team are met. Functions of the role include planning, developing, and managing advising policies, transactional and transformational advising methods; creating and managing consistent workplace practices; and ensuring undergraduate advising supports the success of students in meeting academic and graduation goals. The Associate Director reports directly to the Director of Jayhawk Academic Advising and supervises a team of assistant directors and academic advisors.
