The Associate Director of Donor Relations and Gift Planning are two different roles; This full-time position has a dual report with the Director of Donor Relations and the Sr. Director of Gift Planning to complete and improve upon annual tasks as well as collaborating to achieve long-term goals.
ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES:
Donor Relations:
Prepares gift acknowledgment letters for the President, the EVP and Chief Development Officer, and the Director of Donor Relations and others for university-wide contributions, including acknowledgement of gifts made by VIP donors.
Drafts new acknowledgment letter text on a routine basis.
Assists in planning and executing annual department events, such as Thank-A-Donor Day and “Hats Off To You” donor appreciation event, as well as the President’s Champagne Brunch.
Assists the Director with impact reporting, which involves fostering relationships with staff, students, and faculty as well as writing stories of impact.
Assists the Director with scholarship recipients and endowment reporting and manages a large portion of the tasks involved, including management of data in spreadsheets; collecting and organizing thank you notes; formatting, organizing, and tracking all student profiles; mail merging, and organizing the packets to be mailed/emailed. Must also collaborate with Student Financial Planning, Development Operations Office and the Finance Office.
Coordinates research, preparation, receipt, and mailing of various forms of correspondence to donors for more than 300 funds. This includes coordinating all aspects of student correspondence (tracking, editing, organizing, and both internal and external distribution), as well as helping to manage the donor biographies/corporate profiles.
Maintains Stetson Society membership, recognition programs, and donor signage.
Maintains Honorary and Memorial gifts files.
Interprets data, analyzes results using all available platforms (Raiser’s Edge, Banner, Argos, Power BI, Crystal Report) and provide executive level and ad-hoc reports.
Comprehensive management of the daily operations of the alumni and donor database (Raiser’s Edge), including security, creation and maintenance of user accounts, maintenance of code tables, imports, global changes to records, queries, and exports.
Uses the platform’s online giving platform (Online Express), and creates and maintains the online giving forms and online marketing component.
Ensures that donors receive all required reports and correspondence on a timely basis.
Trains, manages and supervises work-study students in the department.
Answers and screens incoming calls, greets visitors, handles requests, and process incoming mail.
Requires some physical effort such as standing, walking, frequent light lifting (4-20 lb.), and manual dexterity in the operation of equipment. Requires extended periods of time at a keyboard and computer screens.
Performs other duties as assigned.
Gift Planning:
Acts as an intermediary to other departments, i.e. Development Communication, DevOps, etc. to ensure smooth communication between departments.
Prepares reports monthly for Stetson Society needs i.e. birthday lists, etc.
Develops appropriate queries/exports with DevOps to identify those donors that fit very specific criteria for mailings.
Works closely with Communications to ensure Sr. Director’s vision is realized for the numerous mailing pieces coordinated annually. Buck slips, letters, advertisements, invitations, etc.
Assists with PG Symposium. Includes preparation assistance of all collateral materials in conjunction with Communications, attendee registration, survey compilation, certificates of completion to attendees, etc.
Provides appropriate lists of Financial Advisors i.e. birthdays, invitations, etc. monthly.
Confirms the accuracy of Truist monthly distributions to donors and prepares letters for Sr. Director’s signature confirming the distribution amount and date expected.
Reviews all gifts to ensure estate gifts are accurately recorded per Sr. Director’s requirements.
Ensures that RE records are updated with Sr. Director’s actions as necessary.
Prepares mailings to annuitants such as 1099R letters, annual tax details, etc.
For both departments:
Prepares monthly budget summary.
Completes expense reports.
Prepares necessary paperwork i.e. Purchase Order requests, etc.
Interfaces with ancillary departments (print shop, etc.) as needed.
Ensures adequate inventory of supplies such as letterhead, envelopes, stamps, etc.
Required Skills
Excellent organizational, written, and oral communication skills are a must.
Must have strong Microsoft Office (Outlook, Word, and Excel) skills and possess a strong ability to handle and manipulate complex data in spreadsheets as well as the ability to handle complex mail merge operations.
Ability to initiate and execute multiple complex projects under minimal supervision.
Ability to interact, collaborate, and communicate effectively with University constituents and stakeholders, including alumni, friends, faculty, staff, and gift officers as well as others in the division and other departments across the university.
Required Experience
Bachelor’s degree or equivalent experience.
Ideal Candidate Qualifications: The ideal candidate’s qualifications for this role include:
Banner, Argos, Raiser's Edge, Adobe Acrobat Pro, Photoshop, and InDesign experience preferred.
Adept at queries, report writing, and presenting findings.
Ability to define and re-engineer business processes.
