Description of Work Unit
The College of Natural Sciences ( CNS ) studies the foundational sciences – we ask fundamental questions and apply our knowledge to every field of study. Consisting of eight departments and 10 centers our college is a leader in research, teaching, and community engagement. We are guided by the principles of inclusiveness and integrity and believe we are most productive and impactful when we operate with recognition, appreciation, and respect for our differences. Over 4,800 undergraduate students and 700 Masters and Ph.D. candidates pursue degrees within our departments, and are taught by over 200 faculty.

Position Summary
The Administrative Support Associate will perform a range of basic office support activities for the College of Natural Sciences Dean’s office such as greeting and directing visitors, answering questions, data entry, ordering, scheduling, and/or word processing work as assigned. They will also serve as back-up support for purchasing card processing and other financial processing duties.
The ideal candidate will be detail oriented, work well under pressure, and have excellent communication skills. This person will be comfortable with time management, prioritization, and organization.
The Administrative Support Associate reports directly to the Scholarship Manager and Executive Admin Support. This position is required to be in person.
Position Minimum Qualifications
High school diploma
At least 1 year of proven experience in an administrative role
Excellent organizational and time management skills
Thorough attention to detail skills
Strong written and verbal communication skills, including strong spelling, grammar, and punctuation
Proficiency in MS Office
Preferred Qualifications
Associates degree
General accounting experience including purchasing card allocations
2-3 years of experience in an administrative role
Thorough understanding of office management procedures
Flexibility and the capacity to prioritize new tasks
Exceptional interpersonal and customer service skills

Maintains inventory of office supplies and anticipates supply needs; ensures prompt ordering and receipt of supplies and delivers supplies to work stations as needed.
Provides office communications support by answering questions, forwarding messages, confirming customer orders/requests and keeping customers informed of order/request status.
Assists with ordering, scheduling, and item pick-up as assigned.
Drafts and proofreads correspondence, and conducts research.
Assists with other office support tasks as assigned.
