JOB DESCRIPTION AND POSITION REQUIREMENTS:
The Office of Principal Gifts in the Division of Development and Alumni Relations at The Pennsylvania State University (http://psu.edu/) is seeking an experienced Administrative Support Assistant 3 to manage daily activities of the office and to provide direct administrative support for senior administrators. It requires a significant degree of independence and a willingness to seek out solutions to complex problems.
The Administrative Support Assistant serves as a key member of the team in the Office of Principal Gifts, performing critical functions that support the work of the office. This position provides direct support to the Senior Assistant Vice President for Principal Gifts and to the Director of Prospect Engagement and Operations, including all calendaring and extensive travel support and expense reconciliation. This position staffs the Office of the Senior Assistant Vice President for Principal Gifts, engaging directly with prospects and donors to schedule meetings and provide follow-up support.
The successful candidate will be responsible for the following:
Provide Direct Support to the Senior Assistant Vice President for Principal Gifts and to the Director of Prospect Engagement and Operations.
Schedule meetings and support all calendar functions for these positions, including Principal Gifts Strategy Meetings, which include parties from many different units.
Support the DDAR VP, as needed, around scheduling meetings. Provide extensive travel support, including reconciling all expenses.
Manage the budget for the Office of Principal Gifts, pulling the report monthly, sharing with the Sr. AVP, and reconciling anything against the budget.
Write simple correspondence in support of the work of the office, manage the mail, prepare meeting materials as requested. Attend meetings as requested within the office and in other offices, take notes for dissemination. Attend DDAR meetings.
Collaborate with colleagues in the Office of Principal Gifts, as necessary, to tackle large/special projects, and to assist when necessary. Fill in for other administrative staff when there are vacations/vacancies.
Manage the office, including OPP and supply requests.
Answer phones and greet visitors in the Office of the Senior Assistant Vice President for Principal Gifts.
Attend meetings weekly or as needed to review calendar and tasks.
Typically requires a High School diploma or higher plus 3 or more years of related experience or an equivalent combination of education and experience.
