About the Department
The Section of Infectious Diseases provides care to children withinfectious diseases and immunologic disorders. Our clinicians areleaders in the care of children with HIV, and treating children withother disorders where the immune system may be compromised, includingchildren with blood, respiratory, or skin and soft tissue infections,pneumonia, cancer, transplantation or heart disease complicated by acuteinfections.
Job Summary
The Administrative Specialist plays a crucial role in providingexceptional administrative support across multiple sections, activelyensuring seamless day-to-day operations and maintaining the utmostefficiency in office functions. The incumbent must possess exceptionaltime management, communication, and organizational skills, making thisrole ideal for a detail-oriented professional adept at optimizing officeoperations through their administrative expertise.
Responsibilities
Assist with the onboarding process for new faculty, staff, andtrainees in partnership with Business Administrator and/orAdministrative Assistant.Provide support for Medical Staff Office credentialing,re-credentialing, licensure, and certification processes forfaculty, other academic personnel, and Advanced Practice Providers.Oversee the fellowship program in partnership with the Department\'sGraduate Medical Education Office. Address and resolve officechallenges, facilitating solutions while collaborating withsupervisor for the most intricate issues.Manages accounts andreceives, processes, and tracks all bills and expense reimbursementson behalf of section personnel. Provides administrative support fora leader. Stays informed of activities relating to programs andinitiatives, apprising the leader of issues when deemed necessary.Coordinates information flow from leader\'s office.Prepare specialreports and summaries, assists in managing daily operation of theoffice, and may assist in developing administrative goals andpolicies.Triages emails and telephone calls for action. Resolves mostlyroutine and some complex inquiries.Coordinates special projects as directed by the leader. Prepareswrite ups for recommendations for operational and administrativeproblems. Prepares financial and/or administrative reports.Performs other related work as needed.Minimum Qualifications
Education:
Minimum requirements include vocational training, apprenticeships or theequivalent experience in related field (not typically required to have afour-year degree).
