  The Operations Coordinator is part of the Office of Health Sciences Education (OHSE) in the School of Medicine at Vanderbilt University (VUSM) and is a key individual contributor responsible for facilities administration on the School of Medicine floors of the Eskind Family Biomedical Library and Learning Center (EBL) and supporting operations as applicable for the OHSE Core administrative team. This position is an integral part of the coordination and cohesion of all teams within OHSE. Reporting directly to the Administrative Officer, this position coordinates all room scheduling and configurations, manages digital signage, coordinates all building and OHSE office needs for the School of Medicine floors in EBL, and procures supplies needed for the greater OHSE team.

  The Office of Health Sciences Education (OHSE) governs the range of educational activities of The Vanderbilt University School of Medicine, including administering degree programs that provide students with the knowledge, skills, and attitudes they will need to practice safe, effective, ethical, evidence-based, and patient-centered health care in the 21st century. OHSE is dedicated to the ultimate goal of healthy, thriving persons and communities, and we strongly support efforts towards the health equity upon which such a goal rests. The dedicated staff in OHSE work collectively in service of this mission by providing a range of support for our students, faculty and fellow staff including academic program administration, education design and informatics, financial and administrative oversight, student services and education research resources.

  Duties and Responsibilities:

  Coordinate all room scheduling within OHSE space using EMS scheduling software.

  Support all building constituents, resolving any space needs and/or conflicts that may arise.

  Ensure classrooms are in proper room configuration, move furniture and demountable walls as needed. Liaise with Vanderbilt University Information Technology (VUIT) team and determine appropriate coverage.

  Complete annual Space Survey and maintain OHSE inventories, including capital and non-capital equipment.

  Communicate with University Card Office to coordinate building and printing access.

  Hold a master key to the building and act as an approved University key requestor.

  Liaise and represent OHSE to other University departments including Vanderbilt University Maintenance and Operations, Campus Planning and Construction, and other key constituents on construction, repair, and housekeeping needs.

  Manage all MD student lockers.

  Maintain and communicate building emergency preparedness guidelines and procedures.

  Coordinate digital signage for the two VUSM digital screens.

  Work with hiring managers to ensure all new hire space and technology needs are met prior to start date. Orient all new team members on building policies and procedures.

  Manage OHSE computer and equipment inventory, ordering new computers and supplies when needed.

  Manage general office business and logistical needs, including copiers/printers, paper shredding, office supplies, and VUOHSE email inbox.

  Act as the OHSE main purchaser and as backup to other department purchasers. § Work with finance team to deposit all OHSE funds.

  Assist with department events, communication, and logistical needs.

  Special projects and duties as assigned as time and interests permit.

  This position requires the moving of furniture and demountable walls.

  Qualifications

  A high school diploma is necessary.

  A Bachelor’s degree from an accredited institution is preferred.

  At least three years of related experience is necessary.

  Experience with complex scheduling/coordination is preferred.

  Established computer skills, especially Excel, is strongly preferred.

  Inventory management and/or purchasing experience is preferred.

  Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community is preferred.

  Demonstrated ability to work autonomously managing operational projects is preferred.
