Job SummaryIn this role, the Administrative & Program Coordinator will be responsible for a variety of duties and responsibilities in support of Drexel University Counseling & Health services. This position will serve as the frontline person at the University City counseling site. They will manage all administrative functions of the office which includes answering the phone, scheduling clients, and providing emergency triage in addition to general office management responsibilities. They will work collaboratively with staff (ex. Business Manager, Counseling clinical staff, Psychiatrist) in executing the responsibilities of this position. Coordinator will provide general support to the Associate Director/Director of Training including coordination of annual internship application and interview process and will also support the Outreach and Group Coordinators in monitoring and scheduling requests for programs. In addition, s/he will also provide support when necessary to Case Manager who assists clients with off-campus referrals for continued care.Essential FunctionsSupport and assist Business Manager at UC with all administrative tasks including maintenance of digital calendars for all therapists and interns; managing and responding to counseling email account, scheduling appointments; and coordinating schedules to enhance prompt response to students requesting appointments.Supports Associate Director/ Director of Training with annual internship application and interview process.Assists Outreach and Group Coordinators with monitoring and scheduling requests for programs.Ordering office supplies, maintenance of equipment and repairs, coordination of meetings for office staff, reserve space.Manage students in crisis, perform triage assessments, and respond to families and university faculty and staff regarding above.Generate student files, monitor computer-based record keeping system, and maintain permanent, confidential database.Function as part of a team to assess students' needs in executing the responsibilities of this position.Provide culturally responsive and general good customer service to student body, campus partners, faculty and staff, etc.Required QualificationsMinimum of a Bachelor's degree and 2 years of experience or .Excellent written and verbal communication skills.Strong time management skills.Ability to work independently and establish relationships, and function within a team.Comprehensive understanding of office protocol, policies and procedures.Excellent customer service skills.Proficiency with PC and Microsoft Office Suite.Preferred QualificationsBachelor's degree in psychology or mental health related field.Experience working in a mental health related field.Ability to effectively manage students with significant mental health needs.LocationHybrid: Remote/University City, Philadelphia PAAdditional InformationThis position is classified as Non-exempt, grade H. Compensation for this grade ranges from $17.14 - $25.71.
