Westwood Professional Services, Inc.is seeking an Administrative Coordinator to join our team in our Minneapolis, MN office. Westwood has a highly experienced and dynamic team of individuals dedicated to providing high-level professional services to our clients. The Administrative Coordinator is responsible for supporting administrative initiatives and assisting the leadership team within the division. The Administrative Coordinator ensures the efficient operation and coordination of administrative functions as directed by the Division Leader. Duties and Responsibilities Provide administrative support to the Division Leader and other leaders within the division. Collaborate with other Division Administrative Coordinators and Corporate Service representatives as needed to implement companywide initiatives, business support activities, data management tasks, data validation activities, and trainings Input, maintain, and verify data in Deltek Vantagepoint and other ERP/CRM systems used by the division. Train team members on the standards and use of the ERP/CRM systems. Communicate division administrative standards and processes to the administration team within the division. Provide administrative training to the division administration team. Facilitate the flow of financial information from the Division leader to the division leadership team. Support division communication and information management platforms. Assist in travel accommodations and logistics for the Division Leader and other team members. Prepare meeting agendas and take meeting notes for division meetings. Assist in planning division events. Support marketing and pursuit efforts and other business development initiatives as needed. Other administrative tasks as directed by the Division Leader Position requires domestic travel Required Skills Detail orientated and very organized Adapt to ever-changing work environments Ability to communicate effectively with employees at all levels of the organization. Handle confidential and non-routine information. Proficient in Microsoft office products Able to work in a fast-paced environment Capacity to independently manage multiple assignments, determine and set job priorities, and work with limited/direct supervision.
